Job Overview: Perform clerical work and administrative support to the clinical director, online clinical coordinator, chair, and the faculty of Speech-Language Pathology department. Assist in achieving the program goals and objectives in conjunction with meeting the standards set by the university and ASHA (outside accrediting agency). Essential Functions: ESSENTIAL FUNCTIONS: (other duties may be assigned) Support the daily operations of the clinic to include, but not limited to ,
scheduling client appointments
, maintaining clinic records and databases, clinical student databases, recording meeting minutes, filing, answering phone calls, composing correspondence, record keeping, and data entry. Act as main point of contact for students, families, visitors, and University community. Generate, maintain, and track paperwork and documentation to ensure compliance with timely submission of relevant forms to and from students,
clinical supervisors , clinical sites. Coordinate paperwork for affiliation agreements with clinical sites. Draft related correspondence as directed. Maintain relevant databases. Maintain and update student, clinic, and supervisor files and certifications as needed. Manage and organize
in-person and online
student clinical paperwork (i.e., clinical clearances, hours, supervisory evaluations, etc.) to maintain compliance for accrediting bodies. Support the daily operations of the department. Provide administrative support to
the clinical director, online clinical coordinator, department chair, faculty, and other department administrative assistants. Monitor and provide updates for departmental web pages. Create, compile, update and post faculty and student resources on group pages. Monitor expenditures against
departmental and clinic
budgets as well as research grants, process purchase orders and negotiate pricing with primary vendors.
Collect and record payment for on-campus and off-campus clinic services.
Maintain receipts and process monthly purchasing card reports for chair and clinical director.
Expedite reports as needed. Maintaining department inventory and ordering supplies as necessary. Coordinating/planning
Summer Camp, Distinguished Speaker Series, Department Picnic, Department Banquet, etc. Maintaining alumni database and sending job opportunities to alumni list. Forward various fieldwork opportunities to graduate students. Collecting Praxis scores from ETS/graduate students and maintaining pass rate record. Provide student support to include assistance with SLP Newsletter. Supervise student workers. Carry out supervisor responsibilities in accordance with the organization's policies and applicable laws. Includes interviewing, hiring, and training employees; planning assigning and directing work; appraising performance rewarding and disciplining employees; addressing complaints and resolving problems. Maintain financial and demographic surveys of clients served in the on-campus and off-campus clinics, as needed for clinical research and/or
implementation/adjustment
of fee schedules. Provide administrative support to the department chair including, but not limited to, the administration of databases, collection of data necessary for outside accrediting agency and related accreditation reports, and compiling program evaluation and assessment reports. Perform other related duties as assigned to support the needs of the department and clinic. Experience: 2-3 years experience in roles requiring coordination of meetings, events, appointments or providing administrative support to multiple bosses using basic spreadsheet and database software. Related Duties: Purge files annually Create new student files Serve as back up to departmental administrative specialist and clinical administrative specialist as needed Upholds and promotes the Mission and Philosophy of the University and the Sisters of Mercy. Preserves honesty and integrity in the professional affairs of the University; adheres to high standards of ethical practices and conduct. Education: Associate degree in business, computer information systems, or related field (Equivalent combinations of education, licenses, certifications and/or experience may be considered.)
