We are seeking a

proactive and detail-oriented Systems Data Administrator

to support the development, execution, and data accuracy of a comprehensive

preventive and ongoing maintenance program . This role plays a critical part in maintaining the integrity of our asset data and ensuring that scheduled maintenance activities are tracked and completed efficiently across all operational assets-including trailers, tanks, pumps, motors, facility systems, and aviation equipment.

Working closely with the

Facility Maintenance Manager , the Systems Data Administrator will manage and optimize the maintenance management systems (e.g., EAM, VMS), build asset hierarchies, upload and organize technical documentation, and produce compliance reports that align with regulatory standards.

Responsibilities

Partner with the Facility Maintenance Manager to design, implement, and maintain a structured Preventive Maintenance (PM) program. Build and configure systems (CMS, EAM, or VMS) to reflect asset maintenance requirements and operational structure, including proper parent-child relationships. Maintain and update asset data, schedules, work orders, histories, and compliance records within the Enterprise Asset Management (EAM) platform. Ensure all OEM manuals, design drawings, service records, and related documentation are uploaded and tied to the appropriate assets. Generate and distribute reports on upcoming PM tasks and overdue work orders to increase visibility and accountability across teams. Coordinate with field teams and third-party vendors to schedule services, inspections, and repairs. Monitor and document compliance with regulatory requirements, including AVIR, tank inspections, and DOT standards (e.g., 49 CFR 180.416). Assist with procurement and logistics for maintenance-related parts, tools, and vendor services. Analyze maintenance performance trends to identify opportunities for process improvements and cost savings. Develop a user guide and reference documentation to train new users on systems operations and best practices.

Qualifications

3+ years of experience in maintenance coordination, systems administration, or asset management in an industrial, logistics, or transportation setting. Hands-on experience with Enterprise Asset Management (EAM) platforms such as IBM Maximo, SAP PM, Infor EAM, or similar tools. Strong understanding of maintenance work order workflows, asset lifecycle management, and PM scheduling. Proficiency with data management, reporting tools, and the Microsoft Office Suite. Strong organizational and communication skills with the ability to prioritize tasks and work independently. Knowledge of regulatory standards related to equipment inspection and maintenance is preferred.

Skills

Experience supporting operations in fuel, transportation, logistics, or aviation environments. Familiarity with XML-based reports or dashboard reporting within EAM platforms. A detail-oriented mindset with a focus on data integrity and continuous improvement. Ability to operate cross-functionally, supporting both field technicians and leadership teams.
