with our Timepieces department. From vintage to rare, investment-grade timepieces, our department handles some of the most sought-after watches in the world. We work closely with high-end collectors, dealers, and international clients, offering white-glove service and expert guidance through every stage of the consignment and auction process. Headquartered in Dallas, Texas, with offices in New York, Chicago, Beverly Hills, San Francisco, London, Hong Kong, and other cities, Heritage Auctions is the 3rd largest auction house in the world with 50 different Auction categories including, Coins, Sports, Comics, Historical, Jewelry, Fine & Decorative Art, Wine, and many more.
SUMMARY: This is a combined position with expected contributions close to 50% each main duty. The Consignment Coordinator role is responsible for coordinating, entering, and tagging incoming consignments, communicating the status with clients and coworkers, and overseeing the flow from pre-auction to post-auction for 15-18 Timepieces auctions per year. The Cataloguer role examines, evaluates, and describes timepieces within our database and assists with inquiries. This position provides an excellent opportunity to handle timepieces and experience the dynamic auction industry.

CONSIGNMENT COORDINATOR ESSENTIAL DUTIES & RESPONSIBILITIES: Supporting Directors during the consignment process, including sending consignment contracts and inventory lists for signature Coordinating, monitoring, and processing incoming consignments Opening packages, verifying and labeling contents, creating a record for each item in the Heritage database Auditing contracts and other consignment paperwork for accuracy Performing department-wide inventories of consignment material Proactively following up on pending requests and outstanding issues Assisting with order picking/pulling when needed Processing shipping requests Assisting with gallery previews on and off-site, organizing and labeling property on display Ability to work under tight deadlines in a fast-paced industry Ability to communicate clearly and quickly via email, phone, and instant message Proficiency in Microsoft applications, specifically Outlook, Word, and Excel Ability to prioritize and complete many tasks and projects that are assigned at once The ideal candidate will have a proven track record of organizational skills and attention to detail Other duties as assigned by the Operations Manager CATALOGUER SKILLS & ABILITIES: Proficiency in reviewing and describing timepieces with a great attention to detail. Excellent writing skills Ability to follow assigned formats Strong research skills in a high-production environment Demonstrated prioritization skills and ability to meet deadlines
Requirements:
EDUCATION and/or EXPERIENCE: High school diploma required, Bachelor’s degree preferred, but not required Minimum 2+ years’ work experience in a fast-paced environment Experience in customer service, order fulfillment, retail, or the service industry is a plus Interest in Timepieces or Collectibles is a plus All candidates regardless of industry experience and education level will be considered – we are looking for high-energy applicants who are adaptable and ready to work in an active environment with great people!
