We are seeking an
Administrative Assistant
to join our client's Mental Health and Therapy facility on a part-time basis who is eager to join an active, evolving team, and play an integral role in the organization's growth and development. This position involves client interaction, providing administrative support to our team of counselors, and assisting the director with key tasks related to clinician management and office organization. We are looking for someone who can collaboratively brainstorm and develop ideas for partnerships with businesses, schools, and community organizations.
Location:
Naperville, Illinois - Hybrid 50% in office 50% remote Pay:
$20/hr Schedule:
Part-Time Monday-Friday 15-20 hours a week
Responsibilities: Facilitate the client intake process, ensuring profiles are complete before service delivery Develop a detailed understanding of clinicians’ credentials to effectively and appropriately match them with clients Act as a liaison between clients and therapists for non-clinical issues. Provide feedback and instructions to clinicians regarding scheduling, credentialing, continuing education, and client support to ensure professional, ethical, and quality client services Assist the director with updating and maintaining therapist license and certification records Assist the director with onboarding new clinicians, ensuring access to resources and understanding of procedures Proactively identify challenges and streamline processes to enhance efficiency Coordinate with healthcare providers or agencies as needed Verify behavioral health and EAP benefits with insurance providers Answering calls and directing them to the appropriate staff member Communicate coverage details and out-of-pocket expenses to clients Maintaining accurate records Follow HIPAA standards and guidelines Scheduling patient appointments and managing the appointment calendar Sending emails and correspondence to patients and staff members Order and maintain office supplies to ensure readiness Providing excellent customer service to patients and visitors Assist with the preparation and organization of events, workshops, or meetings Ensure compliance with mandatory training, such as sexual harassment prevention Requirements: 3+ years of experience in an administrative support role High school diploma or equivalent Experience in a healthcare or counseling environment is a plus. Experience using an Electronic Medical Recordkeeping database for billing purposes is a plus Ability to create processes to streamline efficiency Ability to manage multiple tasks and deadlines simultaneously High attention to detail Ability to learn quickly Strong organizational and time management skills Excellent communication and interpersonal skills Proficiency in Microsoft Office Suite and Google Workspace We offer a supportive and collaborative work environment, competitive pay, and opportunities for growth and development.
