We are seeking an organized and friendly Office Administrator to manage front desk operations, administrative tasks, and to support the company's communications flow. This role will include other duties as assigned, so flexibility is important. At URI, we pride ourselves on fostering a welcoming and dynamic work environment. As an Office Administrator, you'll play a crucial role in ensuring smooth operations and creating a positive atmosphere for our staff, clients, and participants.You enjoy being part of a larger team.

This is a full-time position.

Salary: $20-$25 an hour. On site: Must be able to commute to the Kirkland/Bellevue office 5 days a week. This is an in person role. Hours: for this role are 8:30am - 3:30pm PT, or 35 hours a week (considered full time).

Key Responsibilities

Front Desk Management

Greet visitors and clients warmly. Answer and manage phone calls efficiently. Monitor and respond to emails promptly.

Administrative

Coordinate office events and morale-boosting activities. Monitor, order, and replenish office supplies, drinks, and snacks. Scan and distribute physical mail promptly. Assist other departments with administrative tasks such as onboarding, maintaining records, and coordinating meetings. Responsible for filing, data entry, and organizing financial documents.

Freshdesk Ticketing System

Manage participant inquiries through the Freshdesk system. Ensuretimelyresponses and resolutions tomaintainparticipant satisfaction.

Office and Facilities

Maintain,clean,and organizecommon areasfor staff and clients. Schedule and supervise maintenance and repairs, ensuringtimelyand effective completion. Conduct regular inspections to ensure facility standards are met andidentifyareas of improvement.

Supporting the Team

Assist with scheduling, administrative tasks, assist with hospitality initiatives and programming. Help with company communications. Jump in to help other departments and colleagues of all levels as needed and requested.

Requirements and Qualifications:

Proven experience as an Office Administrator, Front Desk Coordinator, or similar role. Excellent customer service and communication skills. Strong organizational abilities and attention to detail. Strong written and personal communications. Friendly and consistent professionalism. Enjoy engaging with clients, participants, and colleagues all day long. Comfortable handling sensitive information and situations discretely. Proficiencyin Microsoft Office Suite; must have 2 years experience with Sharepoint, Excel, Teams, and Outlook. Familiarity with ticketing systems like Freshdesk is a plus. Must be able to lift 50lbs. Benefits:
