Aurora911 Management Assistant

Aurora911 is staffed by public safety professionals who are trained to answer and triage 9-1-1 and non-emergency telephone calls, as well as dispatch police, fire, paramedic, and alternative response resources. Our dedicated 9-1-1 professionals gather and analyze critical life-safety information from callers and send the information via computer to police, fire, and or paramedic dispatchers who are responsible for coordinating the response of field responders. The Aurora911 team works in partnership with Aurora Police Department, Aurora Fire Rescue, Falck ambulance, Aurora Mobile Response Team, Information Technology, and other city departments to ensure the safety and quality of life for residents, businesses, and visitors in the City of Aurora. Aurora911 processes 9-1-1 and non-emergency calls from the citizens and visitors in the City of Aurora. Approximately 600,000 telephone calls for service are received annually, the majority of which result in the dispatch of police, fire, rescue, or emergency medical responders. The Management Assistant is a highly organized and self-motivated professional who provides support to the Executive Administrative Supervisor and departmental and general administrative support to Aurora911 internal and external stakeholders. Primary Duties & Responsibilities include: Provides administrative support to select department positions and on behalf of the department. Schedules appointments and meetings on behalf of the Executive Team Members and for the department. Participate in the development and implementation of goals, objectives, policies, procedures, and priorities for assigned programs; recommend improvements and modifications. Prepares, processes, and ensures accuracy of bi-weekly payroll for department employees. Records and disseminates meeting minutes. Processes accounts receivable and accounts payable transactions. Helps to maintain and organize department records (employee, financial, discovery) Research, compile, print, and/or prepare materials and reports. Operates a variety of office equipment including personnel computers with varied software. Help to conduct department employee orientation for new employees. Processes new hire and resignation/retirement paperwork. Performs other duties as assigned. Minimum Qualifications & Working Conditions: Education:
High School Diploma or GED. Experience:
Three (3) years' experience in administrative support. Three (3) years' experience in general accounting principles and practices. Three (3) years' experience in virtual personnel, accounting and payroll platforms. Experience with Workday platform highly preferred. Licenses and Certifications:
Notary Public Certification (or the ability to successfully acquire certification in the first six months of employment). Administrative professional certifications are highly preferred (SHRM, CAP, PACE, etc.). Knowledge:
Knowledge of payroll processes, automated payroll systems, personnel management policies and procedures, business, English, and math. Considerable knowledge of Human Resources practices and application of employment law. Skills:
Office equipment operation, Microsoft Office suite, payroll and clerical functions related to assigned function. Strong interpersonal, customer service, and computer operation skills. Excellent time and task management. Problem solving skills; including the ability to read, write, spell, and speak in a clear and concise manner and to educate, counsel, and motivate others. Skill in the use of personal computers and related software. Abilities:

As assigned, incumbents may serve as a lead worker making work assignments and monitoring work completion. Essential Personnel: Members of Aurora911 are considered essential personnel and are subject to call back or extended shifts to ensure continuity of emergency services to the city. Physical Demands: Light physical work lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds, with or without assistance. Occasional lifting, carrying, walking, and standing. Frequent hand/eye coordination to operate computer screens and keyboard. Clear speech communication to effectively communication with citizens and public safety organizations. Hearing and listening to maintain communication to handle and dispatch emergency calls. Vision to read reports and other written material. Frequent speech communication and hearing to maintain communication with employees and citizens. Work Environment: Essential duties are performed primarily in clean, comfortable environment. Work may occur in a hybrid of office/home locations. Various noise levels with period of high activity and volume. Equipment Used: Computer and other standard office equipment, which includes multiple monitors. This position may require the incumbent to occasionally use personal equipment (e.g., vehicle, cell phone, tools, etc.) in the course of their employment.
