Office Administrator
SUMMARY The Office Administrator serves as a key member of the operations support team, providing comprehensive administrative, financial, human resources, and safety compliance support. This role ensures smooth day-to-day business operations by managing vendor relationships, processing invoices, coordinating employee engagement activities, assisting with HR processes, and supporting safety and compliance programs. The position requires discretion when handling sensitive and confidential information, strong organizational skills, and the ability to work cross-functionally with multiple departments. Schedule: 8:30 AM – 5:00 PM, with flexibility to adjust depending on business needs. Must be willing to work overtime or weekends as required to meet operational demands.
RESPONSIBILITIES Administrative & Financial Support Process, code, and pay vendor invoices accurately and on time Manage purchase orders and maintain vendor relationships for office and operational supplies Reconcile expense reports and maintain accurate financial records Coordinate scheduling for meetings, events, and vendor service calls Human Resources & Employee Engagement Assist with onboarding and new hire orientation Maintain confidential HR and employee records Support employee engagement programs, recognition events, and internal communications Coordinate training logistics and assist with policy rollouts Safety & Compliance Schedule, track, and document safety training sessions Assist in safety audits and maintain compliance records Track and report incidents, corrective actions, and follow-up requirements Support PPE, uniforms, and safety supply inventory management Operations Support Serve as liaison between operations leadership and support functions Track and maintain staffing, production, and operational reports Assist in preparing and updating SOPs, training guides, and communication boards Support operational project rollouts, technology updates, and process improvements Follow up on maintenance requests and coordinate with service providers Additional Responsibilities Perform all other duties as assigned to meet business needs
Required Skills & Qualifications
3+ years of administrative, HR, or operations support experience (manufacturing, warehouse, or logistics environment preferred) Strong organizational and multitasking skills with attention to detail Ability to handle confidential and sensitive information with discretion Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with HRIS or ERP systems Strong communication skills, both written and verbal Ability to work independently and collaboratively in a fast-paced environment Education
High school diploma or equivalent required Preferred Qualifications
Bilingual in Spanish preferred, but not required Experience supporting HR and safety compliance programs Prior work in a multi-site or large-scale operations environment
