Position Overview:
The Support Specialist will play a crucial role in ensuring the smooth and efficient operation of our Engineering Team, Laboratories, and Manufacturing Plant. This position involves coordinating various operational activities, providing administrative support, and assisting in the implementation of process improvements.
Position Responsibilities: Perform administrative tasks such as entering purchase requisitions, SESes, work orders, and manage support contracts. Provide support to engineering employees to schedule employee training, travel and expense reports, etc. Coordinate activities such as team meetings, design reviews, and safety sessions. Take meeting minutes, and distribute action items for engineering team and cross-functional projects at the direction of technical and project leaders. Maintain and manage engineering documentation, including drawings, specifications, change orders, and technical files. Assist in the preparation and formatting of technical reports, presentations, and training materials. Monitor and track inventory of department supplies, tools, and equipment. Coordinate with supply chain to determine and track open order status; expediting orders and managing vendor delays, as needed. Assist with onboarding of new team members by preparing documentation, IT access, etc. Coordinate with HR to manage employee timecards, reviews, and attendance point system. Basic Qualifications:
1-3 years proven experience in an administrative role in an R&D or industrial environment. Proficiency in using ERP systems (e.g., SAP) and other relevant software. Excellent problem-solving abilities and attention to detail. Ability to work collaboratively in a team-oriented environment with engineers and other technical professionals. Excellent verbal and written communicator, and solid interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Visio). Desired Qualities:
Strong willingness to learn and adapt in a fast-paced, evolving environment. Comfortable managing multiple priorities in a startup or fast-paced environment. Excellent organizational and time-management skills, with strong attention to detail. Strong communication and interpersonal skills, with the ability to work across departments. Team player. Desire to learn. Results-driven with a desire to win. Self-starter, proactive management style.
