Experience working within a law firm or professional services industry is required. Law firm industry is highly preferred.
Job Summary :
The Benefits Manager is responsible for the strategic and day-to-day administration of the firm's employee benefits programs. This role ensures compliance with all applicable regulations, provides exceptional customer service to employees, and manages vendor relationships. The Benefits Manager plays a critical role in maintaining a competitive and comprehensive benefits package that attracts and retains top talent.
Essential Duties and Responsibilities :
- Benefits Administration :
Oversee the administration of all employee benefit programs, including medical, dental, vision, life insurance, disability, flexible spending accounts (FSAs), health savings accounts (HSAs), and other voluntary benefits.
Serve as the primary point of contact for employee benefits inquiries, resolving issues and providing accurate information in a timely manner. Manage enrollment, changes, and terminations of benefit plans. Maintain accurate employee benefits records and ensure data integrity. Process and reconcile benefit invoices and payments. Ensure compliance with ERISA, HIPAA, ACA, and other relevant regulations. 401(k) Administration : Administer the firms 401(k) retirement plan, including enrollment, contributions, distributions, and loan processing.
Serve as the liaison between the firm and the 401(k) plan provider. Ensure compliance with all 401(k) regulations and reporting requirements. Coordinate and conduct employee education sessions on 401(k) plan features and investment options. COBRA Administration : Administer the firms COBRA program, ensuring timely notification and compliance with all COBRA regulations.
Process COBRA enrollments, payments, and terminations. Respond to COBRA-related inquiries from former employees and qualified beneficiaries. Plan, organize, and execute the annual open enrollment process. Develop and distribute open enrollment materials, including benefit guides and communication tools. Conduct employee meetings and presentations to explain benefit plan changes and options. Manage the online enrollment system and ensure accurate data entry. Analyze open enrollment data and provide recommendations for plan improvements. Manage relationships with benefit vendors, including insurance carriers, third-party administrators, and consultants. Evaluate vendor performance and ensure service level agreements are met. Negotiate benefit plan renewals and contracts. Compliance and Reporting : Stay up-to-date on changes in benefits regulations and ensure compliance.
Prepare and file required benefit reports, including Form 5500 and ACA reporting. Conduct regular audits of benefit programs to ensure accuracy and compliance. Other Duties as assigned. Qualifications :
Bachelors degree in Human Resources, Business Administration, or a related field. Minimum of 5+ years of experience in benefits administration in a law firm or professional services environment. Strong knowledge of employee benefits programs, including medical, dental, vision, life insurance, disability, 401(k), and COBRA. Proficiency in HRIS systems and benefit administration platforms.
