Glimpse of the Job
The Administrative Associate II will work under general supervision and provide routine administrative support work.
Opportunities to Contribute:
Greet and assist visitors, staff, and faculty.
Answer multi-line phone, direct calls, and take messages.
Apply, interpret, and communicate policies and procedures and serve as a resource for answering questions regarding policies.
Receive, sort, and distribute all incoming mail.
Give out departmental voucher numbers as needed.
Organize and promote and run the departmental fundraiser for SECC every year.
Maintain office supplies and equipment.
May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
Prepare rooms for events and set up and clean up as needed.
Arrange lunches for faculty meetings and graduate student lunch and learn (biweekly).
Arrange all facility tours and retrieve all signed permission forms for any underage facility visitors.
Help gather and edit DOE and REU proposals, and arrange and send DOE highlights submissions.
Maintain a customer database with contact information and a database of contacts and purchase orders.
Keep track of amounts and periods of performance on open contracts/purchase orders.
Serve as a backup for travel coordination.
Qualifications:
High school diploma or equivalent combination of education and experience.
Two years of related experience.
Ability to stand, walk, use stairs and occasionally hand-carry light duty equipment.
A well-qualified candidate will also possess:
Previous experience with AggieBuy and Emburse or similar software.
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Effective verbal and written communication skills.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
Special Note: Because all or a portion of your salary may be funded by grants or contracts, your continuing salary and overall employment is contingent upon availability of these funds in the future.
