Senior Administrative Assistant for the Americas Engineering organization (AMR-EN) supporting its directors, managers and the entire group. Performs multiple administrative duties with limited supervision. Works independently and is responsible for task achievement and results. May also train and supervise lower-level clerical staff.

RESPONSIBILITIES

Systems & Document Management : Oversees Microsoft Teams and SharePoint setup and access, safeguards sensitive documentation, and manages department-wide databases and organizational charts. Process & Workflow Coordination : Manages the Engineering Service Request (ESR) intake process, supports cost tracking and allocation in SAP/TEPS/Concur, and ensures adherence to departmental policies and procedures. Administrative Operations : Coordinates meetings, calendars, PTO, and training assignments; oversees external services (training, consulting, couriers), and supports internal administrative tools like Workday and Outlook. Team & Support Oversight : Provides direction and cross-training for support staff (e.g., Contractor Management Coordinator), and serves as a backup for key administrative functions in adjacent departments when needed. Internal & External Communications : Manages department-wide updates, KPI reporting, and regional/global communications, ensuring sensitive information is handled appropriately. Documentation & Correspondence : Prepares, reviews, and distributes reports, presentations, and correspondence; independently composes non-technical communications and ensures accuracy of outgoing materials. Liaison & Backup Support : Serves as the key contact with Corporate Communications and provides backup for similar functions in the adjacent NGT-AMR organization during absences. Executive & Operational Support : Provides comprehensive support to two Directors and ten Managers, including onboarding/offboarding tasks, organizational changes, delegated approvals, travel arrangements, and expense reporting. Coordination & Liaison Role : Serves as the single point of contact with internal departments (e.g., IT, EHSSQ), coordinates recruiting efforts, and ensures smooth communication and process flow across teams. Meeting & Event Planning : Manages logistics and documentation for major meetings, events, and site visits, including agenda preparation, note-taking, and accommodation coordination; also serves as a backup for equivalent functions in the NGT-AMR organization. REQUIREMENTS

Bachelor's or associate's degree preferred Experience supporting senior level leadership strongly preferred Experience in technical and/or engineering environments is preferred. Must be able to support management on short notice while maintaining continuity of daily tasks and priorities. Requires strong strategic thinking, planning, and organizational abilities to manage shifting demands effectively. Excellent written and verbal communication skills required for professional interaction with executives, senior leaders, external contacts, and international offices. Composes, edits, and processes a variety of documents including letters, reports, presentations, and memoranda with a high degree of accuracy and professionalism. Advanced skills in Microsoft Office (PowerPoint, Word, Excel) are essential
