Executive Assistant To The CEO
Rochester, NY, USA | Salary | 65,000-75,000 per year | Full Time Lifetime Assistance is seeking a forward-thinking, data-driven Executive Assistant to partner directly with our Chief Executive Officer. This is not a traditional administrative role-it's an opportunity to serve as a trusted thought partner and operational support to the CEO, contributing to the strategic direction and daily efficiency of the Executive Office. The ideal candidate will be analytical, highly skilled in Excel and data reporting, and capable of offering insight that supports decision-making at the highest levels of the organization. Strong communication skills, sound judgment, and a proactive mindset are essential. Key Responsibilities: Strategic & Administrative Partnership Act as a key partner to the CEO in managing organizational priorities and initiatives Assist in decision-making by compiling data, creating reports, and offering actionable insights Provide high-level administrative support including managing calendars, preparing presentations, and coordinating communications Data Management & Reporting Serve as a go-to expert in Excel for tracking, analyzing, and reporting data to support executive and board-level decisions Run reports from multiple systems including Microsoft platforms, Teams, UKG, and EHR software Identify opportunities for workflow and software improvements that enhance efficiency Board & Meeting Coordination Prepare materials for board and executive meetings, including agendas, minutes, and action items Coordinate monthly board meetings and provide logistical and documentation support Collaborate with other executives and stakeholders to ensure accurate and timely follow-up Event & Office Management Organize executive events such as board retreats, holiday functions, and leadership gatherings Maintain executive office operations, including supplies, equipment, and documentation systems Communication & Stakeholder Engagement Represent the CEO in communications with internal teams and external stakeholders Draft, edit, and distribute executive communications and reports Foster positive, respectful relationships across all levels of the organization Qualifications: Bachelor's degree in Business Administration or related field preferred (Associate's degree with extensive experience will be considered) Minimum of 5 years of experience supporting C-suite executives, with a strong focus on data, reporting, and project ownership Advanced Excel skills required, including pivot tables, VLOOKUP, and data visualization tools Excellent written and verbal communication skills with the ability to tailor messaging to various audiences Ability to think critically, manage multiple priorities, and contribute strategic insights High level of discretion and integrity in handling confidential information Proficient in Microsoft Office Suite, Teams, UKG, and other relevant platforms Preferred Qualifications: Experience preparing and managing board materials Familiarity with nonprofit organizations or mission-driven environments Notary Public is a plus Schedule & Working Conditions: Full-time, Monday-Friday One evening per month required for board meetings (until approximately 8:30 PM) Flexible start times (e.g., 7:30-8:30 AM) Potential for one remote workday per week after initial training period About Lifetime Assistance: Lifetime Assistance is a leading nonprofit agency dedicated to supporting individuals with developmental disabilities.
