Key Responsibilities

Inventory Management & Asset Control Maintain and update a comprehensive inventory system to track all demonstration units, trade show booths, peripherals, cables, and marketing materials. Implement and manage a structured check-in/check-out process for demo and event assets, ensuring all movements are logged and traceable. Conduct regular physical audits and cycle counts to ensure inventory accuracy and flag discrepancies. Monitor usage trends and proactively identify when items need to be refurbished, replaced, or retired based on condition and demand. Organize and label storage areas to facilitate easy access, safe handling, and efficient asset management. Collaborate with procurement and engineering teams for the onboarding of new demo assets and the decommissioning of outdated or damaged equipment. Logistics & Shipping Coordination Coordinate all shipping and receiving of demo units and event materials to/from field teams, partners, and trade showsboth domestic and international. Prepare detailed packing lists, shipping documentation, and customs paperwork as needed to support smooth and timely deliveries. Work with freight vendors and internal stakeholders to schedule and track shipments, troubleshoot delays, and minimize shipping costs. Stage equipment for outgoing shipments, confirm operational readiness, and ensure materials are properly packaged to prevent transit damage. Manage return logistics and re-stocking processes, ensuring equipment is promptly inspected and re-integrated into inventory. Operational Readiness & Quality Checks Inspect returned demo equipment and perform basic functionality tests to ensure units are clean, intact, and ready for redeployment. Coordinate with service, engineering, or IT teams to handle repairs, calibrations, firmware/software updates, or component replacements. Maintain detailed records of repairs and updates to ensure full visibility into the status of each unit. Ensure all trade show booth elements (e.g., backdrops, monitors, kiosks, literature racks) are complete, undamaged, and exhibition-ready. Maintain a clean, well-organized demo room and storage environment, upholding safety and efficiency standards. Event & Trade Show Support Collaborate with marketing and sales to identify demo and equipment needs for upcoming trade shows and customer events. Coordinate the kitting, preparation, and shipment of all materials needed for trade show boothsincluding signage, demo units, and accessories. Track the return of event materials and ensure they are accounted for, cleaned, and restaged for future use. Serve as a backup point of contact for on-site teams if technical support or equipment questions arise during events. Cross-Functional Communication & Coordination Act as the primary liaison between sales, marketing, engineering, and operations for all demo and trade show asset requests. Maintain an accurate calendar of reservations and proactively communicate conflicts, lead times, and asset availability. Provide updates on shipping status, inventory levels, and readiness to internal stakeholders. Support planning meetings for upcoming campaigns, product launches, or major events to ensure alignment of logistics and asset needs. Process Development & Continuous Improvement Develop and maintain standard operating procedures (SOPs) for demo and trade show asset management, including handling guidelines and documentation practices. Identify and implement process improvements to streamline logistics, reduce asset downtime, and improve user experience. Leverage software tools or ERP systems to enable better visibility and accountability across inventory and logistics functions. Track KPIs such as turnaround time, on-time delivery, asset utilization rates, and field satisfaction to inform ongoing improvements. Qualifications

Education: High school diploma or equivalent required. Associate's or bachelor's degree in business, operations, supply chain, or a related technical field preferred. Experience: 3+ years of experience in inventory management, logistics, warehouse operations, or technical field support. Experience with trade show coordination or customer demo programs is a plus. Familiarity with ERP or asset management software (e.g., SAP, NetSuite, Smartsheet) is highly desirable. Skills: Strong attention to detail and organizational skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Basic technical aptitude for inspecting and handling equipment. Ability to lift up to 50 lbs. and work in a hands-on warehouse or storage environment. Forklift certification or prior warehouse experience is a plus. Yokogawa is an Equal Opportunity Employer.
