Assistant Proposal Coordinator
Arellano Associates is a public communications and strategic marketing consulting firm focused on stakeholder engagement in the transportation, energy, water, and planning sectors across California. We work closely with public agencies, governments, and private-sector clients on infrastructure projects in all phases of development including planning, environmental, design and engineering, and construction. Our Business Development and Proposal Team is responsible for developing strategic, persuasive, and compliant proposals that reflect Arellano's high standards and commitment to public service. The ideal candidate for the Assistant Proposal Coordinator position is an organized, detail-oriented professional who enjoys writing, editing, formatting, and coordinating proposals. This position is responsible for supporting the development of strategic and high-quality proposals that communicate Arellano's expertise to clients and stakeholders. The primary goal of this position is to support the Proposal Team in producing persuasive proposals that win work for the firm and effectively communicate our services and capabilities. This position will report to the Proposal Manager and be part of the Business Development and Proposal Team that produces proposals and Statements of Qualifications (SOQs) for some of California's most impactful public infrastructure projects. Key Responsibilities
The Assistant Proposal Coordinator position requires a broad range of skills, including but not limited to: Proposal Support: Assist with the development of strategic, persuasive, and high-quality proposals to ensure timely and compliant responses to potential clients. Responsibilities include copywriting, editing, formatting, and coordinating graphics. Content Development: Draft and update proposal content, project descriptions, and staff resumes to ensure information is current, accurate, and compelling. Coordination and Scheduling: Coordinate proposal schedules, deadlines, and deliverables in collaboration with the Proposal Manager and other team members. Market and Client Research: Support basic market and client research efforts to inform proposal content and pursuit strategies. Quality Assurance: Assist with proofreading, compliance checks, and quality control for proposals to maintain high standards of accuracy and professionalism. Data Management: Maintain and manage proposal files and data across platforms including Microsoft Office (SharePoint and OneDrive) and Monday.com. Design Support: Provide basic layout and formatting support in Adobe InDesign and Microsoft programs to produce visually compliant and organized proposals. Team Collaboration: Actively communicate and collaborate with the Business Development and Proposal Team to align efforts and optimize outcomes. Flexible Schedule: Maintain a flexible schedule to support proposal deadlines and project demands. Project Assistance: Provide support on additional proposal and administrative projects, as needed. The Assistant Proposal Coordinator position requires a broad range of skills, including but not limited to: Communication Skills: Excellent written and verbal communication abilities. Attention to Detail: Detail-oriented with the ability to multitask effectively in a dynamic environment. Software Proficiency: Proficient in InDesign, Microsoft Office, Monday.com, and OneDrive/SharePoint. AI Familiarity: Familiar with generative AI platforms, such as ChatGPT, for drafting content. Adobe Knowledge: Basic knowledge of Adobe Creative Suite programs, including InDesign, Illustrator, Photoshop, and/or PremierePro. Minimum Requirements
The Assistant Proposal Coordinator position requires a broad range of skills, including but not limited to: Education: Bachelor's degree in Communications, Marketing, Business, English, or related field preferred, or an equivalent combination of education and experience. Industry Experience and Education: 0-3 years of experience in proposal coordination, administrative support, or writing preferred. Relevant internships, coursework, or interest. Technical Skills: Basic knowledge of Adobe Creative Suite programs including InDesign, Illustrator, and Photoshop.
