Position: Administrative Assistant/Assistant Court and Jury Administrator Department: Court Administration Work Schedule: 8:00 a.m. - 4:30 p.m., M-F Status: Full-time FLSA Status: Non-exempt Hourly Rate: $28.4440 A Cover Letter and Resume are required. Incumbent serves as Administrative Assistant/Assistant Court and Jury Administrator for the Hamilton County Court Administration Office, responsible for processing claims, payroll, and assisting with budgets and grant processes. Duties: Prepares, audits, and processes claims for Hamilton County Circuit and Superior Courts, including organizing files, printing vouchers, entering data in accounts payable system, assigning appropriate line item, and presenting for final approval and signature. Schedules certified or qualified interpreters for spoken or sign language for trial and service courts, and due processes, ensuring equal protection to non-English speakers. Prepares reports to track and monitor the interpreting service, including assisting in preparation of the Court Interpreter Grant Application and the Circuit and Superior Courts Language Assistance Plan. Assists in processing payroll for the Courts, including editing timesheets and submitting in timely manner. Assists in preparation and evaluation of the Courts' annual budget, including preparing reports to track and monitor expenses paid by Circuit and Superior Courts. Reviews, updates, prepares and presents Indiana Supreme Court Interpreter Grant Application for approval, including monitoring and preparing reports for expenses involving interpreting fees, per type of case, language and court. Answers telephone and greets office visitors, answering questions, providing information and assistance, responding to inquiries, and directing callers to appropriate individuals or departments. Performs various clerical duties, including obtaining and processing mail, maintaining master calendars for night court and Judges' meetings, and organizing claims with voucher and editing sheets according to claims schedule. Provides clerical support to Court Administration and serves as back-up Court Reporters as assigned. Performs any other related duties as assigned. Job Requirements and Difficulty of Work: High school diploma or HSE required, with Legal secretary and/or paralegal experience and court reporter experience preferred. Working knowledge of standard office and court policies and procedures with computer skills, including word processing, spreadsheet, presentation, email, internet, and Department-specific software systems, and ability to apply such knowledge to a variety of interrelated processes, tasks, and operations. Working knowledge of basic bookkeeping standard practices and procedures, with ability to assist with preparing budgets, and processing claims and payroll. Working knowledge of grant application processes, monitoring, and reporting procedures. Working knowledge of standard English grammar, spelling, and punctuation, and to prepare correspondence and detailed reports as required. Working knowledge of standard filing systems and ability to create and maintain accurate and organized files and records. Ability to type with speed and accuracy, and properly operate standard office equipment, including court recording equipment, video arraignment system, computer, printer, telephone, fax machine, copier, and calculator. Ability to appropriately schedule certified or qualified interpreters for spoken or sign language as required. Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons. Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities. Ability to compute and perform mathematical calculations. Ability to provide public access to or maintain confidentiality of Department information and records according to State requirements. Shall comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct. Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form. Ability to work alone with minimum supervision and with others in a team environment, work on several tasks at the same time, and work rapidly for long periods, occasionally under time pressure. Ability to be cross trained, to perform duties of Department staff. Ability to regularly work extended hours and occasionally work weekends and/or evening hours. Responsibility: Performs standard, recurring duties according to department policies and procedures. Establishes work assignments, objectives and priorities with supervisor. Errors in work are usually prevented through procedural safeguards and legally defined procedures and are detected through supervisory review. Undetected errors may result in loss of time for correction, work delays and/or inconvenience to the courts, other departments, agencies or the public. Personal Work Relationships: Maintain frequent contact with co-workers, other County departments, attorneys, and the public for the purpose of exchanging information, and rendering service. Report directly to Court Administrator. Physical Effort and Work Environment: Perform duties in a standard office environment and courtroom, involving sitting for long periods, sitting/standing/walking at will, keyboarding, close/far vision, hearing sounds/communication, speaking clearly, bending, reaching, lifting/carrying objects weighing up to 25 pounds, handling/grasping/fingering objects, and crouching/kneeling. Incumbent is required to regularly work extended hours and occasionally work weekend and/or evening hours.
