The Executive Assistant is responsible for providing high-level, proactive administrative support to Senior Leadership, ensuring the seamless coordination of critical functions across nursing and healthcare operations. This role manages complex and dynamic schedules, facilitates clear and timely communication across departments, and handles sensitive and confidential information with discretion and professionalism. The Executive Assistant serves as a trusted point of contact and resource, contributing to the efficiency, organization, and success of executive initiatives in a fast-paced, mission-driven healthcare environment. Essential Functions
Coordinate and manage the schedules of the Chief Nursing Officer and the Director, Healthcare Operations, including arranging meetings, appointments, and travel plans. Act as the primary point of contact between the executives and internal/external stakeholders, ensuring timely and accurate communication. Organize and prepare materials for meetings, including drafting agendas, taking minutes, and following up on action items. Draft, review, and distribute correspondence, reports, presentations, and other documents as required. Develop databases, maintain and organize records, files, databases, ensuring confidentiality and compliance with hospital policies. Assist in planning and executing projects initiated by the executives including tracking progress, and ensuring deadlines are met. Support budget preparation and monitoring by tracking expenses and preparing financial reports. Oversee office supplies and equipment, ensuring availability and proper functioning. Ensure adherence to hospital policies and procedures, particularly patient confidentiality and data protection. Manage additional tasks and projects assigned to support departmental objectives. Knowledge, Skills, and Abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Excellent organizational and time-management abilities. Strong written and verbal communication skills. Ability to handle sensitive information with discretion and maintain confidentiality. Strong problem-solving skills and attention to detail. Ability to work independently and collaboratively in a fast-paced environment. Strong knowledge of medical terminology and hospital operations is required Education and Experience
High School diploma or GED Ten (10) years of experience providing executive level support Basic Life Support (BLS) certified Benefits
