Inclusion Coordinator

The Inclusion Coordinator plays a key role in providing professional support for implementing inclusion initiatives. The Inclusion Coordinator is responsible for providing project research and project logistical support to help the team achieve its goals. The Inclusion Coordinator reports to the Associate Director of Attorney Development & Inclusion and collaborates closely with the Inclusion Program Manager. Job Functions & Responsibilities Supports the Inclusion team by assisting with project and program coordination and by driving logistical planning necessities Works closely with the Inclusion Program Manager to support and coordinate firm affinity group efforts and initiatives. Responsibilities include scheduling and facilitating meetings, preparing agendas, recording and distributing minutes, and ensuring materials are organized and accessible to relevant committee leads and professionals. In collaboration with the Inclusion Program Manager, drives databases oversight for all current LEAP/MTO mentees and alumni; prepares marketing materials, PowerPoint presentations, and related documents; tracks participants post-program graduation and reports on appropriate metrics. Maintains firm demographic statistics and additional tracking resources; ensures that team resources (including Inclusion accomplishments tracking document and Inclusion survey calendar) are updated on a weekly basis. Supports the Attorney Development and Inclusion team with preparing responses to client requests and industry surveys - building the team's responses library for future survey response use; tracks demographics of committee assignments throughout the year by using Workday and other information sources. Manages internal Inclusion email inbox and appropriately responds to requests. Tracks Inclusion opportunities (to include sponsorship opportunities and development programming). Responsible for monthly review of inclusion-related firm expenses. Reports on budget expenditures for monthly budget meetings. Conducts first pass at maintaining the firm's inclusion-related internal intranet pages by ensuring online content is relevant, including committee membership and email distribution lists; meetings are on calendar; and activities of each task force initiative is tracked. Maintains a system to track attorney marketing efforts that include: client engagement, presentations, and speaking opportunities. Assists the team throughout the year by building the resource library for the firm's inclusivity strategic materials. Schedules affinity group and committee meetings, creates agendas, and takes minutes; ensures that all relevant inclusion materials are filed and accessible to committee leads and professionals. Keeps team on track for monthly committee deliverables by reporting on items during weekly team meetings. Tracks and processes expenses (including managing the department's monthly firm credit card) and updates the team's shared calendar, including travel, assisting with printing, and event planning, etc. Oversees special projects and other duties as assigned. Tools Computer Telephone Printer, Fax, Scanner, Photocopier, Shredder MS Office Suite Minimum Job Qualifications Bachelor's degree preferred. Minimum 2 years work experience in a similar role. Fluency with Microsoft Office Suite (Excel, Outlook, PowerPoint and Word). Ability to maintain a high level of professionalism and composure in challenging circumstances. Excellent organizational skills. Ability to handle and maintain confidential information. Ability to communicate effectively and develop partnerships with attorneys, professionals, and peers, becoming a trusted resource. Ability to work independently with a sense of urgency while providing excellent customer service. Ability to work extended hours, nights, weekends, and non-traditional business hours during the week. Ability to use critical thinking and complex problem solving to develop solutions to operational issues.
