Senior Program Support Assistant

The OSHA Education Center, a satellite operation located in Manchester, NH 60 miles from its administrative support unit located at Keene State College, is seeking a Senior Program Support Assistant. This position directly supports the OSHA Program Director and OSHA instructors with logistics for contract training around the United States, and public offerings at more than 16 locations throughout New England. This includes ordering required classroom materials, (manuals and books), preparing required class forms and shipping materials to course site. This is a full-time, benefited position. The OSHA Education Center is fully self-sufficient business unit for registration and curriculum management and complies with all OSHA requirements and student confirmation, invoicing and receipts. The OSHA Education Center teaches both OSHA Developed and NCSH Keene State Non Credit course all over Region 1 - New England. Classes are held in all 6 New England states and at over 16 locations during the calendar year. The position is a singular operational point for a program responsible for enrollment of over 3,000 students (NCOS and NCSH) and revenue of approximately $1.6 million per year. This position provides administrative support to off site locations, instructors and students and can represent the OSHA Center at conferences and meetings. Job Duties/Responsibilities:

Serve as point of contact for student inquiry, enrollment, registration, billing, and communication, as well as act as primary point of contact for business clients, federal, state and local government offices, campus faculty, and business support units. Process registrations and payments at the Manchester office with added procedures for collecting, banking and reporting daily receipts which amass to approximately $1.6 million + annually. Support Instructors with curriculum material logistics while following UNH printing policies/procedures. Provide backup support for processing of Instructors' teaching agreements and travel expenses as well as scheduling for up to 300 courses per year throughout New England, post and update College databases and OSHA's EXTRANET for public information. Prepare Independent Contract Agreements (ICA's) for work done for Keene/OTIEC annually and as needed. Provide monthly enrollment reports to federal OSHA Access database and prepare OSHA approved rosters and sign in sheets for each class as well as course section creation, student registration and billing, and enrollment management. Must operate efficiently within College guidelines and processes for registration (FERPA), billing, payroll, and purchasing, including annual vendor contracting, electronic request and management of purchase orders as well as processes and procedures established by the U.S. Department of Labor OSHA for record keeping and federal reporting. Provide data reporting to the OSHA Office of Training and Education (OTE) monthly and as audited while maintaining compliance with OTE/OSHA Operational Requirements. Follow Test Administration Policies and Programmatic directives and goals per Federal OSHA. Administers and maintains documentation on all policy and processes as established by the University System of New Hampshire, given directives of a USNH audit of registration, purchasing practices and life safety codes. Position is responsible for ordering supplies for the Manchester Office as well as working with vendors on equipment and maintenance. Other duties as assigned. All staff positions support students and will be involved in student-focused activities. Requirements:

High school graduation and seven years of related experience involving duties of increasing responsibility requiring discretion and independent judgment, or Associate's Degree and five years of related experience, or a combination of higher education and related experience equal to seven years. Preferred Qualifications:

Bachelor's degree Completion of courses in related subjects at the college/university level Supervisory experience Experience in a college/university work environment. Experience in a professional training/education work environment Experience with registration software and other databases Ability to work with internal and external customers Familiarity with Microsoft Office Suite.
