Administrative Assistant Associate

The University of Michigan department of Environment, Health & Safety is seeking an Administrative Assistant Associate. This position serves as a critical member of the EHS Administrative Team, who share responsibility for the day-to-day clerical and administrative support of the EHS department. The ability to work as part of a team is essential to the success of the person in this position. This is a one-year, benefits-eligible term limited appointment with potential for renewal. Responsibilities include: coordinating Plan Review activities for the EHS office; answering, screening, and routing calls appropriately; providing support to other administrative staff; coordinating all EHS vehicle maintenance & maintaining records; creating workorders and following through to completion; assisting with maintaining department contact lists, email distribution lists, and reference files; scanning documents for electronic record keeping; data entry; maintaining departmental supplies & completing daily maintenance of equipment; acting in accordance with the Facilities and Operations guiding principles: respect, collaboration, proactive, solutions-based and responsibility to the environment; and other duties as assigned. Skills you have include: demonstrated ability to work independently, prioritizing work and balancing multiple projects concurrently; demonstrated ability to initiate activities and carry them through to completion as well as the flexibility to change focus and priorities quickly; experience handling highly confidential and sensitive information with a demonstrated ability to use sound judgment and diplomacy; ability to identify calls and/or emails that require immediate attention; strong verbal and written communication skills including active listening; ability to build positive and productive relationships with individuals at various professional levels; and prior customer service experience and phone experience. Required qualifications include: high school diploma or equivalent; one to three years of experience or equivalent combination of education and experience; proficiency with Microsoft Office and/or Google Docs; ability to communicate effectively with a broad range of people across all levels of the organization; excellent organizational skills with strong attention to detail; demonstrated ability to exercise discretion and confidentiality; passion for building strong working relationships and a commitment to promoting a positive environment; must exhibit and promote Facilities and Operations values of respect, collaboration, being proactive and solutions based; and demonstrated excellent attendance record. Desired qualifications include: familiarity with U-M policies and procedures; and previous experience using the following: Google, M-Pathways, Zoom. Work schedule: Monday-Friday, 40 hours per week, 7:00 am to 4:00 pm. There is some flexibility with the start time for this position, but the successful candidate will need to be on site until at least 4:00 pm. Due to the nature of the work, this position is on site with no option for hybrid or remote work. This position is not eligible for Visa sponsorship.
