Executive Secretary Position

Position: Executive Secretary Department: Surveyor Work Schedule: 8:00 a.m. - 4:30 p.m., M-F Status: Full-time FLSA Status: Non-exempt Hourly Rate: $28.4440 per hour To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Incumbent serves as Executive Secretary for the Surveyor, responsible for maintaining the minutes of the Drainage Board, answering the telephone, greeting/assisting office visitors, and providing clerical support to department personnel. Duties: Provides secretarial support to the twice monthly meetings of the Drainage Board, including preparing and distributing agendas, attending meetings, recording/transcribing/distributing minutes, maintaining minute book, typing correspondence, and occasionally reserving space for special meetings as needed. Provides secretarial support to the Wellhead Protection Committee, Phase II Stormwater Committee, Web Committee and GIS Technical Committee for meetings including preparing and distributing agendas, attending meetings, recording/transcribing/distributing minutes, maintaining minute book, typing correspondence, and occasionally reserving space for special meetings as needed. Assists in answering telephone and greeting office visitors, providing information, taking/retrieving messages, or transferring/directing to appropriate individual or department. Assists the public as needed, such as making copies of documents, assisting in completing forms, answering questions regarding drainage assessments and hearings, and researching information on computer and maps. Completes inspection work orders for reported drainage problems. Performs a variety of clerical duties as assigned or as needed, such as entering data on computer, preparing bulk mailings, distributing mail, ordering office supplies as needed, and typing/copying/filing/distributing various documents, such as collection certification forms, legal notices, correspondence, and reports. Periodically performs duties of other clerical personnel in their absence or as needed, such as preparing vouchers. Periodically compiles and types contracts, bid packets, and bidding lists as needed. Performs related duties as assigned. Job Requirements and Difficulty of Work: High school diploma or GED and a minimum of two years of clerical experience, or equivalent combination of education and experience. Working knowledge of standard office policies and procedures, and ability to apply such knowledge to a variety of interrelated tasks. Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including telephone, computer, printer, fax machine, copiers, microfilm reader, and calculator. Working knowledge of standard English grammar, spelling and punctuation, and ability to effectively communicate orally and in writing with co-workers, other County departments, Drainage Board, engineering and construction firms, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities. Ability to read and interpret various county maps. Ability to understand and follow oral and written instructions, and appropriately respond to constructive criticism. Ability to work with others in a team environment, and maintain appropriate, respectful interrelationships with co-workers. Ability to provide public access to or maintain confidentiality of department information/records according to state requirements. Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons. Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct. Responsibility: Incumbent performs standard, recurring duties according to service needs of the public. Errors in incumbent's work are usually prevented and readily detected through supervisory review. Undetected errors may result in loss of time for correction, work delays to other departments/agencies, and/or inconvenience to other agencies or the public. Personal Work Relationships: Incumbent maintains frequent contact with co-workers, other County departments, engineering and construction firms, and the public for the purpose of exchanging and explaining information. Incumbent reports directly to Administrative Assistant. Physical Effort and Work Environment: Incumbent performs duties in a standard office environment involving sitting for long periods, sitting and walking at will, close vision, speaking clearly, hearing sounds/communication, keyboarding, and lifting/carrying objects weighing less than 25 pounds and occasionally weighing up to 50 pounds.
