Residency Program Coordinator

The Residency Program Coordinator is responsible for the day-to-day coordination of MAHEC Residency and Fellowship Programs. The Program Coordinator provides knowledge and expertise to support the Program Director and Program Administrator in the management of all resident educational and professional experiences and to program accreditation and sustainability. Specific responsibilities include: Working closely with the Residency Program Administrator to understand and enforce the Graduate Medical Education (ACGME, CODA, ASHP) requirements for institutional, core, and program requirements. Tracking, reporting, and ensuring compliance with licensing with the North Carolina Medical Board and Drug Enforcement Administration. Maintaining proficiency in and use of residency management software, New Innovations, Med Scheduler, RedCap, and Smartsheet. Maintaining compliance threshold with evaluations for Residents and Faculty. Entering Resident schedules for the academic year into New Innovations. Maintaining accuracy of scheduling, rotations, and curriculum within New Innovations. Managing weekly didactics curriculum for the academic year based on ACGME requirements and residents' needs. Organizing Procedures and Simulation center activities. Maintaining evaluations and surveys to assess residents' educational needs. Tracking didactics attendance to ensure compliance. Managing residents' compliance in program-specific training courses and follow-up review sessions. Confirming procedure logger numbers, ensuring resident accreditation compliance. Scheduling, attending, and reporting on programmatic accreditation meetings. Tracking and managing clinical work hours as required by program. Participating in annual recruitment season. Planning and managing annual resident orientation. Collaborating and assisting with annual resident graduation. Processing resident reimbursement in Workday. Maintaining, distributing, and tracking progress of onboarding and advancement checklists. This role description is a general description of the essential job functions. Education and experience: Minimum qualifications: Any combination of training and experience equivalent to a bachelor's degree in office administration, business, healthcare management, education, or other related degree and two years of work experience in a residency program, academic setting, health care organization, or office environment. Preferred qualifications: Knowledge or experience with ACGME, ABFM, and other accrediting and regulatory bodies that affect resident education and training is a plus. Familiarity with medical anatomy and terminology. Required licenses are not applicable. Schedule: Regular attendance on-site is an essential function of this position. Friday, 8:00 am to 5:00 pm (or flexed to best meet the needs of the clients and/or the Division); 40 hours per workweek; weekend, holiday, or evening coverage is occasionally required. Work hours will need to be flexible in order to respond to special work assignments, or evening activities, as requested by the team leader. Position compensation: $21.35, full time with all full benefits available.
