POSITION TITLE: Associate Registrar
DEPARTMENT: Registrar's Office
PRIMARY LOCATION: Any Bristol Campus Location (Fall River MA, Taunton MA, Attleboro MA, New Bedford MA)
POSITION STATUS: This is a full-time, non-unit professional with benefits.
REPORTS TO: Registrar
SALARY: $94,554.00 - $99,340.80 (NUP-M2)
STATEMENT OF DUTIES
Under the direction of the Registrar, the Associate Registrar is responsible for overseeing the development and maintenance of the college's academic course schedule, using tools such as Coursedog and Banner. This role ensures that the academic schedule supports student success, aligns with institutional policies, and adheres to deadlines. The Associate Registrar works collaboratively with academic areas, department chairs, and deans to create an accurate and student-centered schedule. Additionally, the incumbent will provide data-driven insights, policy guidance, and system support to enhance efficiency and meet institutional goals.
The position requires strong attention to detail, effective communication skills, and a collaborative mindset to manage scheduling processes successfully within a shared governance framework.
Essential Functions, Duties, And Responsibilities
Course Scheduling
Utilize Coursedog and Banner to create and maintain the academic course schedule. Collaborate with department chairs, program coordinators, and division deans to ensure the schedule meets institutional policies, deadlines, and student needs. Monitor schedule development to ensure proper alignment with accreditation standards, workload policies, and resource availability.
Data Analytics and Reporting
Use Coursedog to analyze scheduling patterns, classroom utilization, and enrollment trends to inform data-driven decision-making. Provide reports and recommendations to academic areas to support efficient course offerings and address student demand.
Collaboration and Training
Serve as a liaison between the Registrar's Office, academic areas, and administrative departments to streamline scheduling processes. Develop and deliver training and support for department staff and faculty on scheduling software, policies, and procedures. Facilitate communication between stakeholders regarding scheduling updates, deadlines, and changes.
Catalog and Curriculum Maintenance
Manage updates to program and course information in the Clean Catalog system, ensuring accuracy and compliance with curriculum changes. Update prerequisite and corequisite tables and create new courses in the catalog master based on approved curriculum updates. Work closely with academic areas to ensure the catalog and academic schedule alignment.
Policy Development and Compliance
Collaborate with the Registrar to create and update scheduling policies and procedures that support academic and institutional goals. Ensure compliance with FERPA regulations and institutional policies related to course scheduling and academic records.
Student and Faculty Outreach
Communicate with students, advisors and faculty regarding new courses, schedule changes, and scheduling policies. Provide support to students navigating course scheduling and registration processes.
Classroom and Resource Management
Coordinate classroom assignments, ensuring optimal utilization of space and resources. Address and resolve scheduling conflicts, including faculty time conflicts, classroom changes, and low-enrollment courses.
System Maintenance and Special Projects
Serve as the technical coordinator for Clean Catalog and related systems, ensuring updates and maintenance align with institutional needs. Partner with ITS to troubleshoot and resolve system issues related to scheduling software. Lead or contribute to special projects, such as implementing new scheduling software or enhancing scheduling workflows.
General Duties
Assist the Registrar's Office with other registration, records, and administrative tasks as needed. Perform other related duties as assigned to support institutional objectives.
Requirements
REQUIRED QUALIFICATIONS
Minimum of a bachelor's degree (or 8 years of relevant experience in lieu of a degree). A minimum of two years of relevant experience in leadership within a higher education environment. Experience in registration and records management. Knowledge of FERPA regulations. Excellent communication and customer service skills. Strong attention to detail and organizational skills. Ability to work independently and collaborate with others.
Preferred Qualifications
Prior experience in enrollment management, project management, or related areas. Prior supervisory experience in a collective bargaining environment. Prior experience working at a multi-campus community college. Experience working with one or more of the following software packages: Ellucian Banner, Degree Works, Maxient, Slate, Blackboard, Argos, and/or EAB/Navigate. Ability to communicate in a language in addition to English.
