Responsibilities
The Administrative Assistant for HR / ASCI University provides essential administrative and coordination support to ensure the department runs smoothly and efficiently. This role supports employee training, compliance tracking and onboarding processes. The Administrative Assistant also serves as the backup to the HR Executive Assistant, supporting departmental needs as required.
Training & Onboarding Support Prepare and distribute training materials, agendas, certificates, and evaluations. Coordinate logistics for in-person and virtual trainings, including room setup, links, and equipment. Support registration, attendance tracking, and follow-up communications for internal trainings. Assist in maintaining training calendars, reminders, and scheduling invites for sessions. Maintain accurate records of training logs, certificates, and staff participation.
Compliance & Reporting Monitor and track staff training compliance using Paycom and SharePoint. Generate monthly and quarterly reports on completed and overdue trainings. Assist with internal audits by verifying documentation and file accuracy. Provide updates to leadership regarding new hire training progress and deadlines.
Administrative Support Respond to departmental emails and inquiries in a timely, professional manner. Maintain and organize digital files, supplies, and documentation in HR SharePoint. Draft internal communications and support the creation of flyers, brochures, and memos. Assist with travel coordination, retreat planning, and special events. Maintain the department's SOP manual and project management tools to track timelines.
Collaboration & Cross-Support Serve as liaison between staff and the training team for questions, resources, and deadlines. Collaborate with other departments to support onboarding and professional development. Serve as the backup to the HR Executive Assistant, providing administrative coverage as needed.
REQUIREMENTS Valid Pennsylvania Driver's License Registered and insured vehicle Certificate of Insurance for vehicle Valid PA Inspection (even if vehicle is registered in another state) Valid/Clean Motor Vehicle Record Current Act 33, Police Clearance and FBI Clearance Valid Pennsylvania Driver's License City/County travel
