The Programs Administrative Assistant II provides direct administrative support to their assigned Programs Director and department leadership team members to support program operations. The salary range for this position is $43,856.80 to $55,577.60 annually and is based on non-discriminatory factors such as skills and experience. Assist with special projects, such as process improvements and budget development. Support employees by facilitating interdepartmental communications and interactions between internal and external parties. Provide training, guidance and mentoring for newly onboarded administrative staff. Organize and facilitate monthly status reports from department administrative staff. Developing and implementing new policies and processes. Delegating tasks and ensuring that they are completed in accordance with existing policies and procedures. Create and provide an oversight of office coverage and on-call schedules for all clinical Programs Staff with the addition on NIH business offices. Serves as key point of contact and problem solving with Rochester Tele-messaging requiring 24/7/365 available on call assistance. Ensure projects run smoothly by controlling workflow, scheduling assignments, evaluating the status of various projects and initiatives and reporting updates to the CCO, Managers, internal and external stakeholders as requested. Assists in coordination and monitoring of schedules, calendars regarding meetings/related items. Prepare agendas, record and transcribe minutes for various meetings. Books venues for Programs Department meetings. Prepares various recurring reports for the Programs Department in a timely manner as required and keep files updated and accessible. Assist with room scheduling for various meetings and events. Assist with booking conference and travel accommodations for the CCO. Assist with submitting receipts for expenses incurred on corporate credit cards. Coordinate Programs Department recruiting with HR and Team Supervisors. Creates documents, forms, and informal/formal presentation documents. Provide coverage for other Administrative Assistants when needed or requested. Provide assistance during various credentialing and auditing site visits. Represent CNS Healthcare at various outreach and vendor events as needed. Prepares various reports, forms, spreadsheets, and documents. Performs a variety of administrative/clerical duties, including preparation of letters and miscellaneous correspondence, which may at times include phone contact with primary &/or secondary customers. Responds to general inquiries concerning departmental activities and operations by relating to or referring to established policies and procedures. Schedules appointments (aftercare &/or other appointments as assigned) for all CNS individuals discharged from an inpatient facility, incarceration, other treatment agencies, or other service providers. Establishes/maintains e-files and necessary hard copies of formal reports for reference. Completes and participates in all required annual training. Posts information to records and logs and maintain established files as assigned. Participates in community events, conferences, professional organizations, and educational programs and maintain up to date knowledge as assigned. Participates and promotes departmental and agency quality improvement initiatives. Other duties as assigned. Required: High School Diploma or General Education Diploma, 5 years experience working with senior level executives, basic math skills and understanding of basic financial concepts, working knowledge of the mental health delivery system, terminology and general understanding of mental health issues. Ability to operate standard office machines such as photocopiers, faxes, computers, and video/tele-conferencing equipment. Ability to communicate effectively, professionally, and courteously. Ability to type at least 50 wpm. Ability to use discretion and judgmental when handling matters of a sensitive or confidential nature. Advanced time management, problem solving, customer service, interpersonal, and conflict resolution skills. Advanced collaboration and team working skills. Ability to be forward thinking and take initiative to accomplish goals and objectives of the department. Intermediate level experience with computers and Microsoft office products. Ability to analyze information, research issues, pay attention to detail, and meet deadlines. Ability to conduct oneself in a trauma-informed manner. Ability to format documents and use proper grammar, punctuation, and spell check. Preferred: Associates degree, training, or course work in secretarial studies, 8 years experience with senior level executives. Requires valid and unrestricted Drivers License.
