DEPARTMENT SUMMARY: The Development department is responsible for the fundraising to support the Center's many programs and services that are not financially supported by government grants. The department raises nearly $20 million through individual gifts, private foundation grants, corporate donations, estate and legacy gifts, as well as several fundraising events such as the annual Gala.
JOB SUMMARY: The Associate Director, Development Operations is a key driver of the efficiency and effectiveness of the Development Department's operations. This role oversees core functions including gift processing, data integrity, donor analytics, budget tracking, and the optimization of fundraising technology systems. Leading a team of key staff, the Associate Director ensures seamless coordination across departments to implement streamlined systems and processes that enhance fundraising performance. This position plays a vital role in maintaining accurate and actionable donor data, improving operational workflows, and supporting strategic initiatives that power the Center's philanthropic goals.

ESSENTIAL FUNCTIONS

Budget & Financial Management
Lead the development of the annual departmental budget in collaboration with senior leadership Monitor and track departmental expenses to ensure alignment with budgetary goals Prepare accurate financial reports and projections, and collaborate with Finance to support budget planning, audit readiness, and informed decision-making 30%
Gift Processing, Data Management, & Analysis
Oversee daily gift processing operations, including accurate and timely entry, acknowledgment, and reconciliation of donations Manage and track matching gift submissions, ensuring timely follow-up with donors and corporate matching programs Support the processing and tracking of contributions from Donor-Advised Funds (DAFs), coordinating with Finance to ensure accurate coding and receipting Maintain data integrity and ensure consistent coding, attribution, and donor record accuracy within the CRM Support implementation of data reporting and analytics tools to identify trends and inform fundraising strategy Ensure timely generation of donor reports, trend analysis, and portfolio tools in collaboration with team members Assist with portfolio maintenance, including donor assignment updates and prospect identification efforts Oversee processes to identify and flag lapsed or failed monthly gifts, ensuring appropriate follow-up workflows are in place to recover payments and maintain accurate donor records 20%
Technology & Systems
Oversee the administration and optimization of CRM systems and reporting tools to support departmental efficiency Oversee the setup and quality control of online donation and event registration pages, in coordination with the CRM Manager and Coordinator Oversee the event registration process for Development-led events, coordinating with internal teams to ensure smooth setup, data collection, and follow-up Support gift reconciliation and accounting for event-related donations and registrations, partnering with Finance and Development leadership to ensure accurate revenue reporting and attribution In partnership with the CRM Manager, serve as a liaison with IT, consultants, and vendors to troubleshoot issues, implement solutions, and optimize Development systems Oversee the development and maintenance of standardized operating procedures (SOPs), workflows, and training materials across the Development Operations team to ensure consistent, accurate, and efficient use of technology platforms and data systems Support onboarding of new Development team members and ensure appropriate systems access and training 10%
Department Operations Support
Oversee day-to-day operational needs for the Development division, including vendor management, payment processing, and supply coordination Support event logistics for donor-facing activities, including tracking RSVPs, preparing materials, and ensuring readiness of tools and systems Provide operational input during annual planning and contribute to team efficiency and documentation efforts 10%
Management (Budgetary & Direct Supervisory)
Supervise a small team or direct report(s) involved in gift processing, database management, or donor services Provide day-to-day guidance, prioritize workload, and ensure completion of mandatory trainings Foster a collaborative, inclusive team culture by mentoring staff, conducting regular performance evaluations, and supporting professional development Uphold Center policies and leadership standards to support a productive and values-driven work environment
REQUIRED QUALIFICATIONS Strong understanding of corporate philanthropy, institutional funding, and the evolving landscape of LGBTQ-focused Bachelor's degree in business administration, nonprofit management, or a related field (or equivalent experience) Minimum 5 years' experience in development operations or a related field, with at least 1 year in a leadership role Demonstrated experience with budget management, data analysis, and CRM systems (experience with Salesforce is a plus) Strong analytical and problem-solving skills with an ability to translate data into actionable insights. Proficiency in donor databases, financial systems, and technology platforms relevant to development operations Exceptional organizational skills and attention to detail Excellent communication and interpersonal skills, with the ability to collaborate across departments and with external stakeholders Proven leadership and team management abilities, fostering a supportive and productive work environment Demonstrated initiative, flexibility, and problem-solving ability in a fast-paced nonprofit environment Experience supporting events or managing departmental operations, including vendor and payment workflows
