Key Responsibilities
- Process vendor invoices accurately and efficiently, using OCR-based automated systems to capture data.
- Perform 3-way matching of invoices, purchase orders (POs), and receipts to ensure integrity.
- Upload and configure templates into AP systems for automated workflows.
- Review, validate, and process employee expense reports in compliance with corporate policies.
- Maintain timely payment schedules, optimizing cash flow and capturing discounts.
- Investigate and resolve invoice and payment discrepancies with internal stakeholders and third parties.
- Reconcile vendor statements and ensure ledger accuracy ahead of month-end close.
- Execute ad-hoc reporting, spend analytics, and support audit preparation needs.
- Partner with cross-functional teams (e.g. procurement, receiving, finance) to streamline process improvements.
Required Qualifications
- 3+ years of hands-on experience in Accounts Payable.
- Established experience processing invoices in automated systems with OCR capabilities.
- Proficiency in matching invoices against purchase orders.
- Strong comfort with uploading and maintaining templates in AP systems.
- Prior experience reviewing and processing employee expense reports.
- Excellent organizational, time-management and multitasking abilities.
- Strong written and verbal communication skills, capable of vendor and internal collaboration.
- Demonstrated analytical skills with a solutions-oriented mindset.
- Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, formula audit).
- Experience with Workday Financials or other ERP systems.
- Familiarity with Auditoria SmartVendor / AP Helpdesk - leveraging AI-powered SmartBots to manage shared AP inboxes, automate vendor inquiries, and enable near-real-time responses to over 90% of incoming requests. SmartBots support both collaborative (human-in-the-loop) mode and autonomous workflows
- Exposure to AI-enabled AP Help Desk tools or software that support automated reply, ticket resolution, and vendor communication.
- Experience with auditing or compliance workflows related to vendor payments or shared inbox governance.
What Success Looks Like
- Reduction in manual invoice processing time and error rate through smart use of automation.
- Strong vendor satisfaction and on-time payment metrics.
- Accurate and timely reporting of AP metrics, including aging, accruals, and spend analysis.
- Collaboration with procurement and finance to strengthen internal controls and refine AP workflows.
- Active contribution to audit readiness and month-end close processes.
