Job Title: Document Controls Specialist III Position Summary: The Document Controls Specialist III is responsible for carrying out document control (DC) processes to support document control objectives. This is a project-centric role, with projects varying in size and scope. Key Responsibilities: Verifies documents and deliverables conform to project contract requirements, project procedures, and company policy. Executes daily document control activities within the Document Management System for respective technical areas. Processes the latest version of documents (reviewed and/or ready for issuance) to ensure the latest approved revision is available and used by project personnel. Controls the issuance and release of documents, including drawings, parts, specifications, etc., per company procedure. Communicates with document originators and engineering personnel to resolve discrepancies and compile required changes. Maintains close relationships with project team members to ensure ongoing support. Works with contractors and supplier counterparts to train, guide, and ensure document management objectives are met. Carries out project close-out activities and ensures successful handover to business partners, maintaining accuracy and quality of final turnover. Identifies opportunities within document management to integrate effective workflow processes to improve project team efficiency. Trains others, including internal project team members and external contractors or suppliers. Audits contractor and/or supplier document management activities within Aconex to ensure adherence to project procedures. Audits vendor document management submittals for compliance with project document control procedures. Supports document control processes associated with Oracle’s Aconex system, ensuring data integrity across modules (Tasks, Documents, Mail, Packages, Tenders, Workflows, Directory, and Setup). Assists with other duties as assigned. Required Qualifications: High School Diploma or GED Four (4) years of experience performing document control/management in the oil and gas industry, preferably with an owner/operator or an EPC (Engineering/Procurement/Construction) organization Proficiency in Microsoft Office applications (Word, Excel, Teams, Outlook) and other PC skills In-depth experience with engineering documentation and procedural materials for internal company use Ability to work in a fast-paced environment with strong multi-tasking capabilities Excellent organizational, time management, and customer service skills with strong attention to detail, completeness, and accuracy Strong customer service skills and ability to follow company procedures Demonstrated capability to reprioritize as needed Ability to travel up to 15% of the time Preferred Qualifications & Certifications: Quality or Lean Management certification (e.g., ISO-9001, Six Sigma, PMP) Aconex Accreditation – Professional Level Extensive knowledge of Oracle’s Aconex Document Management System Experience working in regulated environments (PHMSA, FERC, DOT, BESE, PSM, etc.) Exposure to business-related activities such as accounting, financing, purchasing, and contracts Let me know if you’d like help drafting: Screening questions (yes/no or numeric) Skill tags for LinkedIn Job function and industry tags for LinkedIn A shortened version for job boards or LinkedIn post summaries Seniority level
