FIXED ASSETS/PROCUREMENT SPECIALIST
REPORTS TO:
ASSISTANT BUSINESS MANAGER
WORK YEAR:
12 MONTH (July 1 to June 30)
JOB SUMMARY / ACCOUNTABILITY:
To assist the Assistant Business Manager in maintaining business practices which function in accordance with State and Federal regulations, as well as in accordance with School Board Policies and generally accepted business practices and accounting principles. To ensure appropriate and efficient purchasing procedures in accordance with district policies.
QUALIFICATIONS:
High School diploma or GED; experience in business and purchasing practices and fixed asset procedures; proficient computer software skills, including Microsoft Office; ability to work independently and make work-related decisions; ability to exercise good judgment in prioritizing tasks and helping people; knowledge of school fund accounting.
PERFORMANCE RESPONSIBILITIES:
Work as a liaison between all staff and vendors through the purchasing function Review and facilitate all purchase requisitions. Ensure that all purchases are being made in accordance with established procedures including GASB 34 compliance Perform all vendor bidding functions including but not limited to: researching vendor options, preparing bids, ensuring the best price and greatest quality in all awarded bid items. Serve as MCIU contact person. Reconcile bank accounts, including Key, General Fund, Payroll, Tax Collectors, and Health Review Student Activity bank reconciliations for accuracy Maintain fee registration via District's online payment processing system Maintain stock of business cards, letterhead and envelopes for district staff Coordinate and place online orders to District vendors Maintain and update fixed assets for submission to auditors Determine what newly procured items should be entered for inventory, appraisal, and depreciation in accordance with all federal, state, GASB, and school board guidelines Coordinate the disposal and transfer of all assets in accordance with school board policy Maintain the proper classification of assets in the District financial software system Assist the independent auditors with the annual depreciation schedule Serve as contact person for financial software and train new financial software users in as requested Provide assistance to the Operations/Facilities Department as needed Cover for other District administrative assistants as needed Perform other duties as assigned by the Assistant Business Manager The position holder must be able to perform the essential job functions with or without reasonable accommodations. Medium work : The incumbent should be able to exert up to 50 lbs of force occasionally, and/or up to 20 lbs of force frequently, and/or up to 10 lbs of force constantly to move objects.
Heavy work : The incumbent should be able to exert up to 100 lbs of force occasionally, and/or up to 50 lbs of force frequently, and/or up to 20 lbs of force constantly to move objects.
Very heavy work : The incumbent should be able to exert in excess of 100 lbs of force occasionally, and in excess of 50 lbs of force frequently, and in excess of 20 lbs of force constantly to move objects
