Job Responsibilities
Patient Coordination & Communication
Serve as a liaison between patients, orthopedic providers, diagnostic facilities, and insurance companies. Communicate testing instructions, appointment details, and follow-up plans clearly to patients. Answer patient questions related to testing or referral processes.
Outgoing Referral Management
Ensure timely submission of referral paperwork and documentation. Track referral status and follow up with providers to confirm patient appointments are scheduled.
Diagnostic Testing Coordination
Schedule and coordinate diagnostic tests such as MRIs, CT scans, X-rays, bone scans, EMGs, or ultrasounds. Verify test orders with physicians and ensure the correct testing protocols are followed. Communicate with radiology/imaging centers to arrange appointments and ensure timely results.
Insurance & Authorization
Obtain insurance pre-authorizations or approvals for tests and referrals when required. Ensure all procedures comply with insurance guidelines to avoid claim denials. Communicate with insurance companies regarding coverage, billing codes, and documentation needs.
Documentation & EMR Management
Enter all referrals, test orders, results, and communication notes into the Electronic Medical Record (EMR) system accurately. Track and follow up on outstanding test results or referral reports. Maintain confidentiality and compliance with HIPAA regulations.
Team Collaboration
Work closely with orthopedic surgeons, physician assistants, and medical assistants to ensure seamless patient care. Participate in staff meetings and workflow improvement initiatives.
Key Skills Required
Strong knowledge of orthopedic terminology and procedures Familiarity with diagnostic imaging processes Excellent communication and interpersonal skills Proficiency with EMR systems (eClinicalWorks/Epic) Understanding of medical insurance and referral processes Strong attention to detail and organizational skills
