Job Description Salary: $24.00 - $29.00 per hour DOE The Special Assistant for Program Administration is a time-limited, high-impact role that provides essential administrative, operational, and analytical support to the Chief Communications and Program Administration Officer, with a core focus on the Parents as Teachers (PAT) program. The position supports cross-program efforts by coordinating data management, streamlining reporting, facilitating internal processes, and ensuring high-quality communication across teams.
This role requires strong organizational skills, analytical capabilities, and the ability to operate effectively in a fast-paced, mission-driven environment. The position is designed to sunset in July 2026, making it ideal for a candidate eager to contribute to high-priority systems and program improvements during a critical period of growth and innovation.

Duties and Responsibilities: Maintain accurate and up-to-date client and program data in electronic health records (EHR) and other designated systems. Analyze and report on program performance, outcomes, and trends to support continuous improvement and strategic decision-making. Assist in the preparation and submission of program reports for internal leadership and external funders, with a focus on PAT compliance requirements. Support the Chief of Communications and Program Administration officer in coordinating program-level operations and overseeing communication workflows. Draft and maintain internal program documentation, including policies, procedures, forms, onboarding guides, and compliance records. Help design program outreach materials and collaborate on community engagement efforts for programs such as PAT. Coordinate logistics for meetings, trainings, and events related to cross-program initiatives and executive planning. Maintain organized, audit-ready records and systems to ensure readiness for evaluations, reports, and compliance reviews. Serve as a liaison between leadership and program staff, families, and partners to promote strong communication and alignment. Monitor internal timelines and deliverables using project management tools (e.g., ASANA), and track follow-up items across teams. Provide administrative and programmatic support to additional initiatives as assigned by the Chief Program Officer of Communications and Program Administration.
Knowledge, Skills and Abilities: Proficiency in data entry, management, and basic analysis Excellent verbal and written communication skills Strong organizational abilities and attention to detail Commitment to discretion and confidentiality Collaborative spirit with ability to support leadership priorities Flexibility to manage shifting deadlines and competing priorities Professionalism and emotional intelligence, particularly in trauma-informed environments Comfort using Microsoft Office, Google Workspace, and digital project management tools
Required Education and Experience: High school diploma or equivalent Minimum of 2 years experience in administrative or data-support roles Proficiency with EHR systems, Excel, and/or CRM platforms Experience working in human services, education, or nonprofit programs preferred
Preferred Education and Experience: Associates or bachelors degree in human services, education, or a related field Experience with the Parents as Teachers model Familiarity with compliance reporting, program evaluation, and outcome tracking
Physical Requirements: Repetitive use of hands and arms for typing and file management Sitting or standing for extended periods of time Ability to lift up to 25 lbs occasionally Navigating between multiple local office settings as needed Operating standard office equipment (printers, scanners, copiers)
Rate of Pay: Full time, nonexempt $24.00 - $29.00 per hour DOE
