The Administrative Assistant of the School of Education (SOE) provides secretarial support to the Associate Dean of the School of Education, the program directors of the Educator Preparation Program (EPP), the program directors of the graduate level programs and the faculty and adjunct faculty who serve the SOE. The administrative assistant will manage the daily operations of the School of Education, complete general administrative office duties, coordinate all field experience placements, assist teacher candidates, keep records, and assist with the development of national, state, and local reports. Essential Duties and Responsibilities
Act as first contact for students regarding course requirements, teacher education qualifications and licensure qualifications. Maintain department files and records. Serve as the receptionist and greet people calling or visiting the department. Maintain financial department records, process purchase orders, order office supplies, and process faculty reimbursement forms. Schedule and maintain IT equipment and copier with IT/Media Services. Maintain office area, workroom, classrooms, report maintenance needs on third floor Data entry and data management Develop and maintain a working knowledge and understanding of university systems, policies, and procedures. Maintain an understanding for all undergraduate teacher education programs and graduate level offerings. Special event coordination as needed (some evenings) Schedule rooms for activities other than classes for faculty and students. Work with candidate led groups (Christian Education Association, Kappa Delta Pi, and CEC), primarily through communication to student body. Maintain the EPP calendar and teacher education submission deadline calendar. Maintain teacher candidate enrollment and student teacher records. Assist with the progression of teacher candidates as they hit major milestones in the program. Coordinate transportation for field trips or faculty trips Supervise student employees Act as a liaison for adjunct faculty members and communication with them regarding the University Calendar. Coordinate all field experience placements for the Teacher Education Program. Provides administrative support to the directors of the graduate level and Ed.D. level education programs. Assist with preparing and compiling necessary information and reports for SOE and for continuous improvement and accrediting bodies (i.e. Title II, Annual Program Report (APR) and ISBE audits. Oversee and coordinates Professional Development (PD) hours system for cooperating teachers and PD Events. Assist the Associate Dean of the School of Education as needed.
Knowledge, Skills and Abilities Required
A lifestyle in agreement with the Computer skills needed with knowledge of word processing, Microsoft Forms, Excel, and Adobe Acrobat. Willingness to attend training workshops for Canvas, edTPA, Colleague, and Astra. Excellent grammar and writing skills to assist with the writing of reports, letters, and other forms of communication. Customer focus with great telephone and interpersonal skills. Able to maintain a high level of confidential information. Ability to work independently. Positive interpersonal relationship skills to effectively work with students, prospective students, faculty, and other constituents. A love for ONU's mission and students
Additional Information
EDUCATION Bachelor's degree required, experience in education/academic setting preferred.
WORK ENVIRONMENT This position will be in an office located in the Weber Center (third floor) in the School of Education on the Bourbonnais campus. 11-month position, 40 hours per week. Generally, Monday through Friday, 8-4:30. Some evenings will be required as need dictates resulting in flex-schedule at certain times.
SUPPLEMENTAL INFORMATION The starting salary for this position is $17 per hour but is based on experience and education level. Olivet Nazarene University offers:
