We are looking for an organized and proactive Executive Assistant to support our executive team. Job Summary: We are seeking a part-time Executive Assistant to provide high-level administrative support to our CEO and leadership team. The ideal candidate will be agile, possess great attention to detail, and have excellent communication skills. This role requires a solution-oriented mindset, the ability to manage confidential information, and a commitment to helping our team operate efficiently. Executive Administrative Support: Serves as gatekeeper and manages schedule of the CEO, including calendar, meeting preparation and arrangements. Completes a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization. Identify priority items and anticipate needs of CEO by being prepared at all times. Prepares and edits communications with professionalism and resourcefulness. Provides support and assistance to the Board and Board committees, and for Board meetings. Represents CEO through phone and email correspondence. Donor Database Management: Prepares timely gift acknowledgement letters for, and correspondence with, donors, partners and supporters as requested by senior leadership. Utilizes the database to maximize data that can be used for fundraising efforts. Documents donor interactions and communications in a timely manner. As directed, prepares and coordinates mailings and communications to supporters through various channels. Qualifications: Proven experience as an executive assistant or in another relevant administrative support role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various office technology, software and databases. Strong organizational skills and ability to multitask. Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with discretion. Strong problem-solving skills and a proactive approach to tasks.
