The Herbert Wertheim College of Medicine is currently seeking a Sr. Program Coordinator to join our team of professionals. Duties include: Leads the application process for the International Visiting Medical Student Program (IVMS) including advising applicants of admissions procedures and program requirements. Reviews supporting application materials in accordance with Family Education Rights and Privacy Act (FERPA). Coordinates the payment of all programmatic fees for IVMS. Responsible for working closely with the Finance team on processing all IVMS confirmed rotations cancellations and rescheduling. Handles sensitive cardholder information and/or processes credit cards/cash transactions. Oversees the coordination of the clinical rotations with preceptors and affiliated clinical sites for the IVMS and Electives program. Conducts weekly checkups of program participants, responds to student requests for assistance and handles student questions, concerns and requests as needed. Ensures medical student clinical evaluations are distributed and collected for IVMS.. Responsible for the collection of feedback surveys from the students. Conducts orientation for new IVMS. Develops orientation materials for all OIA programs, including processing and creating OIA student IDs. Serves as the principal liaison between students, faculty, staff and international and domestic affiliates for assigned programs. Maintains constant communication with prospects and current international visiting medical students and affiliates. Evaluates program operations and provides recommendations for improvements. Reports OIA programs statistics to the FIU Global Footprint initiative. Supervises OIA's program specialist and assigns work to support all OIA programs. Provides support to the leadership team with the day-to-day operations of the programs and with monthly reports to be submitted to the Finance team. Responsible for collecting and uploading recommendation letters to Electronic Residency Application Service (ERAS). Coordinates travel arrangements, travel authorizations and reimbursements for the OIA in collaboration with the Finance team. Travels between Modesto A. Maidique campus and respective clinical sites when needed. Maintains confidentiality for the department. Treats with utmost confidentiality and sensitivity any matter pertaining to medical, academic and personal data of students and any information either directly or indirectly impacting the University and the College. Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Serves as the merchant account's primary contact; Handles sensitive cardholder information and processes credit card transactions for the department; Will have access to a third-party system (software, gateway, etc.) that processes and transmits cardholder information.
Minimum Qualifications
Bachelor's degree and three (3) years of office or related experience. Desired Qualifications
