Job Summary/Description
The Construction Project Coordinator supports the Facilities Planning and Construction (FPC) office by preparing and maintaining project documentation, coordinating with Texas Tech University System staff, and assisting with reporting requirements for construction projects. Works closely with the Director, project managers, and Office Coordinator to ensure accurate records, purchasing documentation, and compliance with Texas Higher Education Coordinating Board (THECB) and TTUS.
Typical Duties/Job Duties Collaborates with the Director and project managers to prepare Requests for Proposals (RFPs), Requests for Qualifications (RFQs), bid forms, bid documents, PowerPoint presentations, and contract documents. Maintains comprehensive construction project files, tracking bonds, insurance certificates, Historically Underutilized Business (HUB) documentation and reports, requisitions, purchase orders, and budgets in accordance with Texas State Records Retention requirements. Maintains a thorough working knowledge of standard contract exhibits and deliverables, ensuring all project files are organized and stored electronically. Verifies and reconciles purchase orders with invoices and payment applications to ensure accuracy and compliance with purchasing guidelines. Prepares reports for the Texas Tech University System (TTUS) and the Texas Higher Education Coordinating Board (THECB), including the ICPS Capital Expenditure Plan (MP1) and Campus Condition Index Report (CCIR). Ensures accurate tracking, filing, and maintenance of all project documentation in collaboration with the Facilities Planning and Construction (FPC) team. Works closely with the Office Coordinator to ensure timely preparation and submission of requisitions and purchase orders to the purchasing office. Develops and maintains detailed budget tracking formats in alignment with university and system accounting procedures. Coordinates with the TTUS FPC office to ensure all documentation and approvals meet System and University compliance standards. Performs other duties as assigned.
Knowledge, Skills and Abilities Proficient in computer software applications including Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat. Familiarity with basic accounting principles. Skilled in the use of computers, copiers, and standard office equipment. Ability to work independently, manage time effectively, handle high workloads, and quickly learn new software programs. Strong verbal, written, and interpersonal communication skills. Minimum Qualifications
High school diploma and five years of related experience required. Up to four years of required experience may be substituted with relevant education or specialized training. An equivalent combination of education and experience may also be considered.
