Project Office Administrator
?? Location: San Jose, CA
?? Duration: 3-4 Week Assignment
?? Type: Short-Term Contract
Position Overview:
We are seeking a highly organized and reliable Project Office Administrator to provide on-site administrative support to a construction project team in San Jose. This individual will play a key role in maintaining smooth daily operations, supporting documentation workflows, and assisting with compliance tracking and logistics coordination. This position is fully on-site and may require flexibility to support other jobsite projects as needed.
Key Responsibilities:
- Serve as the main point of contact for site visitors; answer phones and respond to internal/external requests
- Maintain office supplies, equipment, and site logistics
- Coordinate workspace setup, seating charts, signage, and office maintenance
- Support new hire onboarding and ensure proper access and equipment setup
- Track and maintain project logs and reports as required
- Assist in preparing supporting documentation for invoicing and client submissions
- Route documents for electronic signatures using Sign-Now or similar tools
- Provide backup support for union payroll processing and onboarding
- Process team expense reports and credit card reconciliations
- Book travel and accommodations as needed
- Help compile and archive closeout documentation at project end
- Education: High school diploma required; Associate's degree preferred
- Prior construction industry or project office experience preferred
- Strong multitasking skills and ability to pivot priorities efficiently
- Proficient in Microsoft Office Suite (Excel, Outlook, Word)
- Experience with Procore , JD Edwards E1 , and Bluebeam a plus
- Familiarity with Egnyte or other cloud-based file sharing systems preferred
- Strong communication skills and team-oriented mindset
- Quick learner with the ability to adapt to new software and systems
