Summary:
As Assistant to the Dean, incumbent provides executive administrative support to the Dean of the School and independently manages the Dean’s Office operations. Core responsibilities include planning routine and complex meetings, events and travel for the Dean and Dean’s Suite; preparing agendas, supporting materials and logistics for standing SOC Dean’s and school-wide meetings, including facilitating the SOC Council meetings; serves as the Dean’s Office front line representative, professionally greeting and managing requests from a variety of constituencies. The incumbent is accountable for managing event budgets and reconciling expenses and reimbursements in a timely manner. The Assistant accesses sensitive and confidential information to assist the Dean and Senior Assistant Dean drafting and organizing responses from the SOC Dean’s Office, troubleshooting sensitive issues, and redirecting to appropriate SOC or AU offices as appropriate. This position is responsible for daily Dean’s Office management, vendor relations, and resource inventory and allocation. The Assistant oversees special Dean’s projects and strategic events and is primary contact for SOC space approvals in the university event management system. This position is the daily supervisor of 2-3 student staff assistants and serves as a leader of other core services staff. The position reports to the Senior Assistant Dean, Strategic Partnerships & Internal Affairs and operates under general supervision.
Essential Functions
Administrative Support Provides executive administrative support to the Dean. Prepares and maintains appointment calendar, schedule appointments, and arranges meetings and all related materials for the Dean. Handle travel arrangements and expenses for the Dean. Provides customer service leadership as the initial contact in the Office of the Dean, including daily interface with faculty, staff, facilities, students, alumni and other VIP visitors. This position is responsible for coordinating communications to and from the Dean’s Office, serving as resource for answers/information to inquiries. Fields and delegates issues to appropriate individuals. Provides additional support for Dean’s Suite activities as directed by Assistant Dean and/or Dean. Dean’s Office Management & Personnel Supervision Responsible for Dean’s Office management and upkeep, including: daily supervision and scheduling and teambuilding of work study staff and research assistants; ordering and inventory; organizing office systems; troubleshooting tech and facilities issues to keep the office running smoothly. Manages vendors, invoices and budgets for Dean’s Office projects and events. Reputation Building & Strategic Event Activity Support Assist with school-wide reputation building including such responsibilities as the Dean’s Office web and newsletter content editing; strategic program, event and retreat planning support; poster & display (multimedia, etc.) creation and coordination; SOC building-use requests, etc. Coordinates cross-unit activities and communications with other AU offices, including other Dean’s Offices, the Provost’s and President’s Offices and Advancement. ) Other Duties And Committee Service As Assigned To Support The School’s Strategic Priorities.
Supervisory Responsibility
2-3 part-time student staff assistants.

Position Type/Expected Hours Of Work
Full-Time. 35 hours/week. Full campus presence position. Evening and weekend work may occasionally be required with notice.
Salary Range
$27-$29 per hour.
Required Education And Experience
Bachelor's degree. 2-4 years of relevant experience. This is a highly visible position in the fast-paced Dean’s Suite of the School of Communication. A minimum of two years of administrative experience is required, preferably supporting a director or above. Professionalism, flexibility, attention to detail, and strong interpersonal skills. Ability to successfully juggle and track multiple tasks and demonstrate great organizational abilities. Proven ability to meet tight deadlines. Possess excellent written and verbal communication skills. Ability able to work with minimal supervision to problem-solve and adapt. A high level of discretion and ability to maintain integrity of confidential and sensitive information. Experience in event management and planning. Demonstrated mastery of Microsoft Office suite tools (Word, Excel, Powerpoint, Outlook)and proficiency in online tools such as Zoom. MS Teams, and Canva.
Preferred Education And Experience
3-5 years of relevant experience. Experience in supervising employees is highly desirable.
