Position Purpose The VoIP System Specialist is responsible for system maintenance, troubleshooting, administration, and vendor coordination to ensure reliable and effective telecommunications services aligning with the mission and objectives of Saint Anthony Hospital. Essential Functions (list In Order Of Importance Including Measures) System Maintenance & Troubleshooting: Ensure high reliability and functionality of the VoIP system through regular maintenance, diagnostics, and repairs; diagnose and address network connectivity and system issues promptly to minimize downtime. (40%) User Administration & Access Management: Manage user access and permissions, create user profiles, and handle line setups and transfers across hospital departments; maintain updated records of all phone lines, user accounts, and device assignments. (20%) Vendor & Internal Coordination: Serve as the main liaison with VoIP vendors for system updates, patches, and complex troubleshooting; collaborate with IT to ensure compliance and support. (20%) System Administration & Configuration: Configure and manage call routing, call queues, voicemail systems, and system settings for optimized operational efficiency. (10%) Support for Emergency Communications: Integrate VoIP settings and protocols with emergency communication procedures to ensure preparedness. (10%) Marginal Functions (list In Order Of Importance) Develop, implement, and maintain policies and procedures for telecommunications services. Oversee integration of voicemail, call routing, and other telecommunication features within VoIP, ensuring alignment with emergency communications needs. Collaborate with departments on VoIP strategies and systems planning to support hospital operations effectively. Participate in hospital-wide projects that further Saint Anthony's strategic communication objectives. General Job Requirements (List any required knowledge, skills, experiences or training, including length of time necessary for proficiency, required to perform the job.) Minimum of 2-3 years of experience in VoIP system administration, preferably in a healthcare or corporate setting. Strong troubleshooting and problem-solving abilities with VoIP technology and network infrastructure knowledge. Effective communication skills for interaction with vendors, IT teams, and hospital staff. Demonstrated capability to manage multiple tasks, prioritize work, and respond efficiently in a fast-paced healthcare environment. Demonstrates highly effective written and verbal communication skills with the ability to translate technical terminology into terms understandable by management, associates and external contacts. Demonstrates stewardship in the application of ethics and the use of resources. Required Education: VoIP certifications (e.g., Cisco VoIP, CompTIA Network+) Preferred Education: Bachelor's degree in Information Technology, Computer Science, Telecommunications, or related field. General office equipment; VoIP systems and related network diagnostic tools; DialPad VoIP platform; Call routing and queue management software; Voicemail systems integration tools.
