The primary purpose of the Administrative Assistant is to provide comprehensive administrative support to the Department of Information Sciences and Technology (IST), including the Chair, Associate and Assistant Chairs, faculty, administrative specialists, and students, in all aspects of their operations. This is a temporary position for an initial 6 months with the potential for renewal/extension. Responsibilities: Provides administrative support to the IST Chair, Associate and Assistant Chairs; Provides office administrative support for faculty, advisors, and adjunct instructors; Oversees completion of hiring paperwork for Adjuncts, Graduate Teaching Assistants, and wage employees hired to perform duties associated with IST academic programs; Co-manages the IST administrative office (in Fairfax and/or SciTech) by assisting with semester course scheduling, IST lab operations, and supervising department wage staff; Greets visitors, arranges appointments, and maintains record management; Orders office and computer supplies, and handles payroll issues; Performs monthly reconciliation, and prepares and distributes financial reports; Assists with IST outreach and special initiatives, and IST special events; and Performs other duties as assigned. Required Qualifications: High school diploma or equivalent; Prior experience with general office practices and equipment; Prior experience with financial reconciliations; Prior experience paying close attention to detail; Self-sufficient ability to use word processing, database, internet, and other PC tools; Ability to effectively handle multiple responsibilities simultaneously, anticipate and meet deadlines, while maintaining flexibility regarding changes in priorities; Demonstrated verbal and written communication skills; Demonstrated customer service skills; Demonstrated organization skills; and Ability to work effectively as a collaborative and dependable team member. Preferred Qualifications: Bachelor's degree in related field; Demonstrated work experience (typically 5+ years) at a university, customer service, or administrative position; Familiarity with a university setting, policies and procedures; Knowledge of the ABET documentation principles; Knowledge of online education; and Knowledge and experience using university information support systems (e.g., eVA, MicroStrategy, and Banner).
