Job Summary
The Budget and Resource Planning department seeks an Administrative Associate with advanced proficiency in Microsoft Word, Excel, and PowerPoint. Strong communication, organizational, and problem-solving skills are essential.
This role operates under a hybrid work model with mostly remote work.
Required Experience and Education
High school diploma or GED and four (4) years of related experience. Higher education may be considered in lieu of experience. Testing may be required.
Job Duties
- Provide administrative support to supervisors, understanding and adhering to departmental and university policies.
- Review and update departmental policy manuals as needed.
- Support senior staff such as the Chairman, Vice Chairman, Director, or Department Manager.
- Monitor and assist with the departments budget, including preparing reports and supporting the annual budget process.
- Authorize expenditures within delegated limits and coordinate approval processes.
- Manage schedules, travel arrangements, and meeting planning for supervisors and visitors.
- Assist with faculty and staff recruitment, including initiating personnel actions and coordinating interviews.
- Coordinate processes for foreign national appointments.
- Pre-screen applicants and organize interview logistics.
- Conduct orientation and training for administrative and technical staff.
- Manage facilities scheduling, asset management, and inventory records.
- Approve leave transactions and interpret related policies.
- Support special projects, including editorial, administrative, and research tasks.
- Assist with grant and contract preparation, including budgeting.
- Maintain financial ledgers, review expenditures, and reconcile accounts.
- Supervise lower-rank staff as needed.
- Perform other duties as assigned.
