We are seeking a highly organized and detail-oriented individual to join our team as the first point of contact for our clients and the supportive force behind our daily operations. Job Summary We are looking for a professional and friendly Receptionist and Administrative Assistant to manage our front office and provide essential administrative support. The ideal candidate will be a problem-solver with excellent communication skills and a passion for providing exceptional customer service. This role is crucial to our success, as you will be the face of our practice and a key member of our team. Key Responsibilities Front Office & Client Relations:
Serve as the first point of contact for all clients and visitors, greeting them warmly and professionally. Answer and direct incoming phone calls, taking accurate and detailed messages as needed. Manage and maintain the reception area, ensuring it is clean and welcoming for clients. Schedule and confirm client appointments, managing the calendars of financial advisors.
Administrative Support:
Provide comprehensive administrative support to the financial advisors and leadership team. Handle incoming and outgoing mail, packages, and other correspondence. Maintain organized and confidential client files and databases (experience with CRM software is a plus). Assist with a variety of clerical tasks, including data entry, scanning, copying, and filing. Order and manage office supplies, ensuring the office is always well-stocked. Assist in the preparation of client materials, reports, and presentations.
Team Collaboration:
Collaborate with team members to ensure smooth daily operations. Assist with special projects and other duties as assigned to support the overall success of the practice.
Qualifications High School Diploma or equivalent; Associate's or Bachelor's degree is a plus. Proven experience in a receptionist, administrative assistant, or customer service role. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook). Exceptional organizational skills and a keen attention to detail. Excellent verbal and written communication skills. Ability to handle sensitive and confidential information with discretion. Professional demeanor and a positive, can-do attitude. Ability to work both independently and as part of a team in a fast-paced environment.
