American Jesuits International (AJI) is seeking a proactive and detail-oriented Operations Manager to support the Executive Director and ensure the smooth day-to-day functioning of the organization. This part-time, hybrid role will be based out of our Washington, DC office and combines responsibilities in bookkeeping, office operations, and administrative support. Key Responsibilities Financial & Bookkeeping Support Maintain accurate and timely accounting records in QuickBooks Online Monitor and process Accounts Payable and Receivable, including international wires and ACH transfers Prepare monthly financial reports (e.g. bank reconciliations, GL maintenance, cash flow summaries) Support budget preparation and expense tracking Assist with grant management by tracking allocations and expenditures Provide documentation and support for annual audit and 990 preparation Operational Support Maintain and organize electronic and physical office files, subscriptions, and vendor accounts Support compliance with organizational policies and regulatory requirements Coordinate contracts, insurance renewals, and vendor relationships Support the onboarding and offboarding of new staff and interns Administrative Assistance Manage scheduling, logistics, and communications for the Executive Director Draft correspondence, reports, and presentations as needed Provide administrative support for meetings, including note-taking and follow-up Assist with travel arrangements and expense reimbursements Provide logistical support for Board meetings and staff events Qualifications Bachelor’s degree in business administration, finance, accounting, nonprofit management, or a related field Minimum 5 years of professional experience in nonprofit administration or accounting Comprehensive knowledge of concepts, practices, and procedures relating to nonprofit accounting, financial controls, and financial information systems Proficiency in QuickBooks Online, Microsoft Office, Google Workspace, and CRM platforms (Salesforce a plus) Strong organizational skills and attention to detail Ability to manage multiple priorities and meet deadlines independently Active CPA license a plus Commitment to AJI’s mission and values Authorized to work in the United States
