Wilks Development is seeking an ambitious and detail-oriented professional to join our dynamic team as an Event Coordinator. This role is responsible for planning and executing seamless, high-quality community events at The District at Willow Park and The Shops at Willow Park. Candidates must be flexible and available for occasional evenings, weekends, and holidays.
Key Responsibilities
Event Planning & Coordination
Plan, organize, and execute community-facing events at both venues. Develop and maintain a robust events calendar, including booking live music and stage entertainment at The District. Create detailed logistics plans, production timelines, and run-of-show schedules for all events. Coordinate all event elements including A/V needs, vendor bookings, rentals, permits, and security. Develop and implement contingency and safety plans for weather, emergencies, and crowd control. Provide timely and thorough communication with all involved parties (vendors, tenants, internal teams). Staff day-of event execution with internal employees or contract labor as needed. Work with the Regional Director of Maintenance to staff facility and grounds support. Provide weekly updates and post-event reports to the Director of Marketing and Communications, including attendance numbers, key takeaways, and improvement opportunities. Maintain and manage individual event and annual event budgets. Collaborate with the Marketing team to create and execute strategic marketing campaigns to drive awareness and attendance. Partner with the Director of Marketing on sponsorship development, activation, and post-event fulfillment reporting. Support ongoing team collaboration with Marketing, Operations, Property Management, and other departments to ensure alignment and success across all events. On-Site Event Management
Serve as the on-site point of contact for all event operations and logistics. Ensure smooth execution by coordinating vendor load-in/load-out, staging, and troubleshooting issues as they arise. Meet vendors and temporary staff onsite as needed for setup and walkthroughs. Support third-party venue rentals and serve as liaison to ensure quality and brand alignment. Assist grounds staff with trash/litter removal or other support tasks during events when needed. Vendor & Supplier Management
Source, vet, and negotiate with vendors including A/V teams, entertainers, caterers, rental companies, and security. Ensure vendors adhere to agreed-upon deliverables, timelines, and safety standards. Inventory & Equipment Management
Maintain an up-to-date inventory of event equipment and supplies. Coordinate procurement, upkeep, and storage of materials as needed. Tenant & Client Relations
Serve as a resource for tenants at both properties regarding event logistics and participation opportunities. Communicate event details in advance and encourage tenant involvement. Foster positive relationships through responsive communication and exceptional service. Qualifications
Minimum Requirements
High school diploma or GED required. 3–5 years of proven experience coordinating community or large-scale public events. Experience managing city permitting processes (including TABC and special event permits). Skilled in vendor sourcing, negotiation, and oversight. Experience developing and managing budgets while balancing cost-effectiveness and quality. Ability to manage multiple projects and deadlines in a fast-paced environment. Strong interpersonal skills, with demonstrated success in client/tenant communication and internal team collaboration. Preferred Qualifications
Prior venue or property management experience. Experience operating or managing audio/visual equipment. Familiarity with Microsoft SharePoint and the Office 365 Suite. Experience using ticketing and event platforms (e.g., Eventbrite, Splash, or similar). Benefits:
