Job Title Facilities Operations Coordinator

Position Summary

Under the direct supervision of the senior director of facilities management, the facilities operations coordinator will be responsible for assisting customers with inquiries, account information, processing invoices, and any other clerical duties to meet business objectives. Supervises and monitors student workers assigned to assist with these same duties. Prepares reports and assists in correspondence and letter writing as required. Facilitates accounts payable and receivable.

Essential Duties and Responsibilities Oversee the day to day processing of requisitions and invoices.

Maintain vendor records. Maintain invoice tracking database. Assist with new vendor set-up.

Serve as the department's initial point of contact for students, faculty, staff and vendors. Oversees the day to day activities within the work order management system.

Assist executive director with project planning. Coordinate appointments. Research specifications. Communicate scheduling details. Assist w/ purchasing and reporting. Reconcile invoices.

Gather and enter data for utility tracking and projects. Prepare correspondence and reports related to work orders, operations, and budget. Order supplies and equipment for maintenance operations and office use.

Maintain an organized and efficient work space.

Maintain department's website with current project updates and campus highlights. Schedules preventative maintenance within the work order management system. Education, Certifications and/or Licenses

Associates degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. Must have a valid Texas Drivers license. Experience

Ability to type a minimum of 35 wpm. Strong customer service skills. Proficient knowledge of Microsoft Office and other current software programs. Proficient use of multi-line phone system. Ability to work independently in the most efficient manner with minimum supervision. Ability to work well with faculty, staff, students, and other constituents of the University. Ability to use discretion in handling confidential matters. Ability to maintain a professional appearance and office atmosphere. Ability to perform efficiently in a fast-paced office setting with minimal errors. Ability to handle demanding telephone dispatch. Strong organizational skills and ability to handle multiple tasks. Knowledge of standard filing procedures (electronic and hard copy). Knowledge of Datatel (Ellucian/Colleague) or similar financial administrative software. Knowledge of and the ability to support and adhere to University and office policies and procedures. Ability to be discrete in handling confidential matters, while complying with FERPA & privacy regulations. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to complete all physical tasks as needed.
