POSITION OVERVIEW:
As the executive assistant/operations manager for the Chief Communications Officer, you will play a crucial role in ensuring that the CCO’s time is optimized, the workflow is streamlined, and the office operates efficiently. You will be responsible for managing a wide range of administrative tasks, coordinating operational activities, and facilitating effective communication within the organization. This role requires exceptional organizational skills, a high level of discretion, and the ability to work in a fast-paced environment.
RESPONSIBILITIES:
Executive Support:
Proactively manage the CCO’s complex calendar, prioritize appointments, and schedule meetings, ensuring efficient use of the CCO’s time.
Prepare and organize materials, agendas, and briefing documents for meetings and presentations.
Coordinate domestic and international travel arrangements, including transportation, accommodations, and visa processing.
Maintain a high level of confidentiality and handle sensitive information with discretion.
Work closely with the CEO’s office to manage timely communication deadlines.
Operational Management:
Collaborate with department heads to develop and implement operational strategies, policies, and procedures.
Streamline internal processes and workflows to enhance operational efficiency and productivity.
Monitor and track key performance indicators, operational metrics, and financial targets.
Prepare reports, presentations, and analyses for the CCO and senior management.
Communication Coordination:
Serve as a primary point of contact and gatekeeper for the CCO, manage correspondence, and respond to inquiries.
Coordinate internal and external communications, including emails, phone calls, and other forms of correspondence.
Draft and edit communications, such as memos, presentations, and reports, with a high degree of accuracy and attention to detail.
Facilitate effective communication between the CCO and other stakeholders, including clients, partners, and employees.
Event and Project Management:
Help plan, organize, and execute team events, conferences, and meetings.
Coordinate and track project deliverables, timelines, and milestones.
Conduct research and gather data to support decision making.
REQUIREMENTS :
Bachelor’s degree in business administration, communications, or a related field.
Proven experience as an executive assistant or operations manager, preferably in a communications or PR agency.
Ability to maintain confidentiality and exercise discretion in handling sensitive information.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent verbal and written communication skills with exceptional attention to detail.
Proficient in using productivity tools, such as Microsoft Office suite and project management software.
Strong problem-solving skills and the ability to work well under pressure.
Proactive, self-motivated, and capable of working independently and as part of a team.
