$65,000.00/yr - $75,000.00/yr Position Summary
The Payroll Specialist is responsible for ensuring accurate, timely, and compliant payroll processing for a multi-state employee population. This exempt-level role supports all aspects of payroll operations, including system maintenance, auditing, reconciliation, and employee support. The ideal candidate is highly detail-oriented, understands payroll regulations, and contributes to ongoing process improvements.
Responsibilities
Payroll Processing
Process biweekly payroll for exempt and non-exempt employees in multiple states, with emphasis on California compliance Ensure payroll accuracy by reviewing time entries, verifying calculations, and auditing data prior to submission Maintain employee payroll records, including changes related to status, compensation, and deductions Administer payroll components such as overtime, bonuses, commissions, final pay, and retroactive adjustments
Reconciliation & Reporting
Reconcile payroll data to ensure alignment with financial records and general ledger accounts Generate routine and ad hoc reports for Finance, HR, and external auditors Support payroll-related month-end and year-end close processes Partner with Finance and HR to support internal and external audits System Administration & Compliance Maintain employee data in the HRIS/payroll system (e.g., Paylocity) with accuracy and confidentiality Ensure compliance with federal, state, and local wage and hour laws Identify and troubleshoot discrepancies in payroll data, partnering with HRIS or IT as needed Support process improvements and system enhancements to increase efficiency and accuracy
Employee Support
Respond to employee inquiries regarding payroll, timekeeping, and deductions in a timely, professional manner Provide guidance to employees and managers on payroll-related policies and deadlines Collaborate with the HR team to ensure a seamless employee experience
Performs other job-related duties as assigned.
Success in This Role
Consistently delivers payroll on time and with a high degree of accuracy Maintains strong working knowledge of payroll regulations, especially in California Communicates clearly and respectfully with internal teams and external vendors Demonstrates initiative in solving problems and improving processes
Requirements
3+ years of payroll experience in a multi-state environment Familiarity with Paylocity or similar HRIS/payroll platforms Strong attention to detail and ability to manage confidential information Excellent organizational and time management skills Strong analytical skills and proficiency in Excel Knowledge of California wage and hour laws highly preferred FPC or CPP certification is a plus
Salary:
Starting compensation range $65,000.00 - $75,000.00 annually. Exact compensation may vary based on skills, experience, and location.
