The Marketing & Recruitment Manager is responsible for delivering on contracted enrollment goals, collaborating with sponsors, managing cross-functional teams, and driving the overall patient acquisition strategy. This person is responsible for developing and overseeing the company’s corporate branding initiatives and setting departmental KPIs. This individual interfaces with the Director of Inpatient Recruitment Operations to ensure an integrative and collaborative approach across all patient recruitment activities. This individual interfaces with the Inpatient Recruitment & Retention Director to ensure an integrative and collaborative approach. The individual in this role acts as the liaison between Inpatient Recruitment & Retention department, Community Outreach department, and makes certain that the recruitment and retention team functions adequately to support the company in meeting its enterprise goals from a strategic growth perspective. DUTIES AND ESSENTIAL JOB FUNCTIONS Task Performance · Own and execute patient recruitment strategies across all sites and studies. · Manage and mentor the marketing team, call center, and prescreening staff. · Collaborate closely with executive leadership, site directors, and sponsors to meet enrollment goals. · Organize, prioritize, and assign recruitment initiatives based on study needs. · Evaluate and refine recruitment performance using key metrics (Cost-per-Randomization, Cost-per-Screen, lead-to-randomization conversion, etc.) · Develop site-specific marketing approaches in collaboration with site staff. · Track staffing needs and recommend optimal ratios to maximize lead conversion. · Build and maintain physician referral programs and community outreach partnerships. · Present recruitment plans and performance metrics to sponsors and executive leadership. · Monitor recruitment budgets and deliver regular reports on ROI, staffing, and performance. · Work closely with other Segal Trials departments to ensure enterprise success in compliance with study and non-study regulations including, but not limited to, the study protocol, HIPAA, OSHA, GCP, GDP, CRF, ICH Guidelines and site Standard Operating Procedures (SOPs) and Work Instructions (WIs). · Oversee the marketing and advertising initiatives for all clinical trials and the overall organization. · Maintain knowledge of all current enrolling trials and their enrollment statuses, including which trials are high priority status. · Provide oversight and approve recruitment plans for each outpatient study; modifying as necessary to ensure contract goals are met. · Act as the point person for the President for weekly updates regarding marketing, recruitment, community outreach and volunteer retention. · Ensure that marketing staff are up to date on the following: all social media outlets, the company website, and all other public materials are up to date with current and upcoming studies, along with any other marketing communications. · Effectively manage recruitment fund spending and maintain knowledge of remaining dollars for proper utilization. · Maintain knowledge of high priority studies and request amendments to budgets when necessary. · Ensure invoices are completed in timely manner and request increased contract numbers or advertising dollars, as needed. · Maintain control of the company’s brand messaging across all platforms, ensuring consistency. · Ensure seamless execution of all planned marketing initiatives by providing team oversight. · Regularly confirm that the volume of leads through various sources (i.e., inbound calls, web contacts, referrals) are adequate to meet study, site, and enterprise goals, and adjust as needed. · Daily review of all recruitment and retention reports to analyze ROI on marketing initiatives and modify accordingly. · Ensure accuracy of CTMS data entry and thoroughness of reasons for DNQs and SFs. · Initiate and oversee vendor contracts as they are related to marketing and recruitment applications. · Test and try new marketing, recruitment, and retention strategies to expand initiatives and meet all company contract goals. · Promote the expansion of referral sources within the enterprises’ local communities related to our areas of research. · Maintain up to date knowledge of the research environment and perform competitor research. · Maintain up to date knowledge of GCP, ICH, and all research regulations related to recruitment and ensure staff are following all Segal Trials Standard Operating Procedures. · Analyze enterprises key performance indicators and modify strategies as the landscape evolves. · Ensure all individuals within the retention and recruitment department function collaboratively and interactively. · Manage and oversee KPIs for all departments under Marketing and recruitment. · Highlight and execute training for all direct reports to ensure staff is equipped to meet departmental KPIs in conjunction with knowledgeable clinical staff. · Ensures that all prospective sponsors and clients are handled with the highest level of customer service and professionalism. · Support and attend PSSVs, SIVs, bid defenses, RFPs, and conferences as needed. · Work closely with the BD team to assess recruitment feasibility, provide informed feedback, and help craft competitive strategies to secure studies and meet enrollment goals. · Assist and collaborate with study startup to support timely site activation and drive FPI timelines for high priority studies. Report Analysis & Oversight · Weekly meetings with community outreach and retention teams to ensure collaboration amongst departments. · Weekly meetings with President and Director of Inpatient Recruitment Operations to discuss strategies across inpatient and outpatient sites. · Marketing reports communicating the results of all company marketing and advertising initiatives. · Advertising budget tracking, that ensures sponsors are invoiced monthly, as appropriate according to budget and contract terms. · Review project metric reports for all recruitment departments (Marketing, Call Center, Retention, Pre-Screeners and Community Outreach.) · Maintain ROI and enrollment goal tracking reports for all areas of recruitment. · Share reporting for all departments under recruitment for company-wide visibility. · The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily all-inclusive. Key Performance Indicators · % of Enrollment Targets Met by Study (monthly & quarterly, site-level and network-wide) · Screen Fail Rate by Campaign Source Marketing Performance · Cost per Randomization (CPR) · Cost per Screened Lead (CPS) · Digital Campaign ROI by Platform (Google Ads, Meta, etc.) · Call Center Response Time (average time to follow up on a lead) · Pre-screener Productivity (leads contacted/day, contact rate, conversion rate) · Campaign Execution Timeliness (number of campaigns launched on time) Strategic & Cross-Functional Execution · Sponsor Satisfaction or Feedback on Recruitment Performance · Community or Physician Referral Program Conversions (per quarter) · Site-Specific Marketing Customization Rate (% of studies with localized strategy) · Quarterly Recruitment Forecast Accuracy. OTHER SKILLS AND ABILITIES: o Able to prioritize, delegate, direct, support, assign and evaluate others’ work. o Follows through on assignments in a timely manner. · Demonstrated abilities in performance management. o Able to influence and encourage others to perform their jobs effectively & responsibly. o Successful previous history with training and leading employee teams. · Able to work independently. · Critical thinker and analytical problem solver. · Functions well in a high-pressure environment. · Goal and solutions oriented. o Exhibits strong verbal and written communication skills through positive interactions with coworkers, managers, clients and vendors. · Displays team collaboration skills o Works effectively and collaboratively with team members to accomplish goals · Curious and passionate about learning and innovation. · Skilled at thoughtful risk taking to accomplish tasks. · Able to balance tasks with competing priorities. · Able to accept direction and constructive criticism from supervisors, managers, and peers. · Ability to work unpredictable hours, including some evenings and weekends REQUIREMENTS · Minimum 5 years of clinical trial site experience in patient recruitment (multi-site preferred) · Proven success recruiting across multiple studies concurrently · Experience managing teams across marketing, prescreening, and/or call center functions · Experience writing proposals for marketing and recruitment campaigns as part of a CTA and budget. · Experience building and maintaining physician referral programs and community outreach partnerships preferred. · Experience with frequent sponsor interactions related to recruitment and marketing. · Strong analytical, strategic, and leadership skills · Experience with artificial intelligence is preferred. · Deep understanding of clinical trial workflows, IRB/HIPAA compliance, and recruitment best practices · Proficiency in CTMS systems, CRM tools, call center software, and marketing analytics platforms · Experience with Search Engine Optimization and social and conventional media required. · Excellent communication skills; confident in sponsor-facing presentations and internal team leadership. · Must be available to work on-site and travel between sites in South Florida Seniority level
