What You’ll Do (Responsibilities)

Event Support Assist in planning and coordinating annual trade shows. Manage event logistics including booking travel, hotels, transportation, and dinner reservations. Order swag, samples, branded materials, and conduct apparel sizing surveys. Coordinate catering, vendor management, and scheduling for events. Support set up and teardown of event spaces. Attend Chicago-area trade shows as needed (occasional travel).

Office & Culture Initiatives Organize and execute internal culture events such as Spirit Week, Holiday Week, and Team Week. Oversee daily operations of cafeteria, including food inventory, delivery management, and restocking. Support company philanthropic drives and initiatives. Coordinate with committees, vendors, and internal stakeholders. Track orders, verify delivery timelines, and ensure follow-through.

Administrative Support Provide direct administrative support to the Director of Events Operations and occasional support to the CEO. Manage calendars, coordinate meetings, and maintain scheduling accuracy for executives. Serve as backup for executive support during supervisor absence, including urgent schedule adjustments. Book conference rooms and manage event calendars. Handle sensitive information with professionalism and confidentiality.

What You Bring (Required)

2+ years of experience as an Administrative Assistant or Events Coordinator. Proven success in planning and executing both virtual and in-person events. Proficiency in Microsoft Office Suite and iPhone productivity tools. Strong vendor management and logistics coordination skills. Excellent written and verbal communication abilities. Strong organizational and project management skills with attention to detail. Ability to work independently in a fast-paced, high-accountability environment. Professionalism, discretion, and a proactive mindset. Willingness to work flexible hours, including evenings/weekends for events.
