Clayton Services is searching for a Special Assistant to the CEO to join a thriving company in Central Houston. We are seeking a highly professional, detail-oriented, and strategic Special Assistant to the CEO to serve as a key partner to the Chief Executive Officer. This unique role is designed for a discreet and highly capable individual who will accompany the CEO throughout the workday—both virtually and in person—to take detailed notes during meetings, track action items, and ensure key decisions and commitments are followed up on and executed across the organization.
This position functions similarly to the Special Assistant roles often found in diplomatic or government settings. The successful candidate will possess excellent judgment, strong organizational skills, and the ability to work in high-stakes environments with a sense of urgency and professionalism. In addition to tracking and driving the execution of CEO-led initiatives, the Special Assistant will provide general administrative support and help maintain efficiency across the executive office.
Job Type: Direct Hire
Pay Rate: $100,000-$125,000/year

Special Assistant to the CEO Responsibilities:
- Shadow the CEO during meetings, calls, and events (virtually and in person), capturing detailed notes and action items.
- Ensure follow-through on meeting outcomes, decisions, and assigned tasks by coordinating with internal teams and holding stakeholders accountable.
- Serve as a strategic liaison between the CEO and internal departments to ensure communication is clear, timely, and aligned.
- Track and prioritize key projects and deliverables that require the CEO's attention or direction.
- Prepare summaries, briefings, and reports that reflect meeting outcomes, progress updates, and strategic decisions.
- Assist with managing the CEO's schedule, calendar, and travel arrangements as needed.
- Draft and proofread communications, presentations, and documents on behalf of the CEO.
- Help maintain the CEO's operational efficiency by identifying bottlenecks and proactively solving problems.
- Handle confidential information with the utmost discretion and integrity.
Specialist Assistant to the CEO Skills and Abilities:
- Exceptional written and verbal communication skills.
- Outstanding attention to detail and ability to synthesize complex information quickly and accurately.
- Strong organizational and time management skills, with a proactive approach to problem-solving.
- Demonstrated ability to maintain confidentiality and act with discretion and diplomacy.
- Comfortable working in a fast-paced, dynamic environment with shifting priorities.
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Google Workspace, Zoom, Slack, Asana or similar platforms).
Special Assistant to the CEO Education and Experience:
- Bachelor's degree required; advanced degree a plus.
- Minimum of 7 years of professional experience in a high-level executive support, chief of staff, or special assistant role.
- Proven ability to manage up and work closely with C-suite executives in high-pressure environments.
- Prior experience working in government, diplomacy, consulting, corporate strategy, or executive leadership environments.
- Familiarity with organizational dynamics in fast-growing companies or high-impact sectors.
