Administrative Office Manager Location: Corona, CA, 92879
Essential Job Functions
- Contract Administration
- Responsible for ensuring all required documents are in place for awarded projects
- Update internal job board, create electronic job folder, add to accounting ERP, and insert budget
- Obtain necessary information from customers
- Review contracts for adherence to company guidelines
- Coordinate contract acceptance and signatures
- Support customer requests for documents
- Take billing information from contract and enter into SAGE
- Create and maintain system for certifications
- Ensure job close out activities are completed
- Prequalification Support
- Ensure pre-award activities are executed as per company policy
- Support preconstruction activities
- Support AFS/PSS Accounts Receivable & Office Administrative Teams
- Ensure AR and Office Admin Teams have necessary support
- Manage team performance, enforce company policies, hiring and training
- Insurance Certificate Coordination
- Ensure all insurance information is tracked
- Maintain up to date Certificates of Insurance
- Provide support during annual renewal process
- General Administrative
- Ensure business license info is up to date
- Assist senior management when needed
- Oversee Party Planning Committee
- Back-up for phone support
- Other duties as assigned
- Minimum five years experience in Contracts Administration
- General knowledge of supporting a construction industry company
- Experience in a supervisory role
- Experience managing remote staff is a plus
- Proactive problem solver
- Self-starter and able to work in a fast-paced environment
- Passionate, energetic, and positive attitude
- Proficient with computers and Microsoft Software Suite
- Exempt - $70,000 - $80,000
