Administrative Coordinator To The Bcdc Chief Research Officer And Associate Director's For Range Operations

The George H.W. Bush Combat Development Complex (BCDC), part of the Texas A&M University System (TAMUS), invites applications for a full-time Administrative Coordinator to the BCDC Chief Research Officer and Associate Director's for Range Operations. The BCDC is the result of a partnership between the Department of Defense, Texas A&M University System, and the State of Texas. The $200 million complex is designed to bring together researchers from U.S. universities, the military, and the private sector for collaboration, demonstrations, and high-tech testing of initiatives to help accelerate military innovation for our nation's defense. The Administrative Coordinator will provide high-level administrative support to the BCDC Chief Research Officer (CRO) and BCDC Associate Director for Hypersonics, research teams, and the Ballistic, Aero-optics, and Materials (BAM) Range. The BAM Range will be a large-scale, fully enclosed multi-disciplinary research and development facility capable of evaluating high energy laser propagation, hypersonic aerothermodynamics, and hypervelocity impact response of materials and structures. The BAM Range will help researchers investigate the influence of weather effects, like precipitation, particulates, and air turbulence, on the transmission of high-energy lasers and battlefield communications. It will also enable researchers to characterize the impact of these weather effects on realistic hypersonic vehicle materials and geometries. The hypervelocity impact capability will facilitate the development of new armor and other protective materials systems. This role requires a dynamic individual with understanding of the technical research sector, who possesses exceptional organizational skills, the ability to handle sensitive information with discretion, and has a commitment to ensuring the smooth operation of both the academic and research functions of the complex. Responsibilities include: Administrative Support: Manage the CRO and Range Directors' calendars (two calendars), schedule meetings, conferences, and appointments. Organize travel arrangements, and prepare itineraries, and expense reports. Prepare agendas, notes, and minutes for meetings. Answer phone calls, direct inquiries, and take messages on behalf of the CRO and Range Directors. Coordinate closely with other BCDC and TAMUS administrative support staff to synchronize activities and provide administrative and logistics support for those activities. Assist with project management activities and coordination. Assist in preparing and submitting research proposals, including budgets and cost proposal justifications. Business Administration: Complete purchasing and procurement processes via AggieBuy, including requisitions, invoice payments, receiving, and vendor additions for staff and graduate assistant researchers. Coordinate with TAMUS and BCDC procurement and business offices to ensure timely payment of goods and services. Communication: Coordinate communication between faculty, research teams, student researchers, government agencies, and public/private sector partners. Liaise with AERO and BCDC offices for payroll, hiring, and project coordination. Coordinate with public relations staff to update/maintain social media accounts and the BCDC website. Event & Meeting Management: Organize and coordinate internal and external events, seminars, conferences, and tours. Coordinate faculty and student participation in conferences, including registration and travel. Student Support: Manage and support graduate (5-10) and undergraduate students (10+) in project coordination and research-related tasks. Guide students through HR, payroll, and training processes; manage onboarding and termination timelines. Human Resources & Recruiting Coordination: Maintain BCDC's internal hiring dashboard; track applicant and position information, including RPAs, position descriptions, and hiring documentation. Schedule interviews and coordinate onboarding for new hires (faculty, staff, and student positions). Prepare and submit new hire paperwork; coordinate with IT and HR on new hire logistics. Maintain and update the hiring process documentation. Compliance & Confidentiality: Handle sensitive personnel and research-related information with a high degree of confidentiality. Ensure compliance with institutional policies, sponsor guidelines, and relevant aerospace research regulations. Education and Experience: Bachelor's degree in Business Administration or related field. Three years of relevant experience. Registration, Certifications, and Licenses: Ability to obtain and maintain a US Secret clearance. Knowledge, Skills and Abilities: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, PowerBI) and other relevant software. Excellent written and verbal communication skills. Strong organizational skills with the ability to multitask and prioritize. Detail-oriented with high accuracy in task execution. Ability to work in a fast-paced environment and adapt to changing priorities. Strong problem-solving skills and the ability to think critically. Discretion and confidentiality are essential. The role may occasionally require evening and weekend work, especially during major events or project deadlines. Ability to multitask and work cooperatively with others. Preferred Qualifications: Knowledge of research processes in relevant defense, technical, and acquisition sectors (e.g., aerospace, networks, air and ground vehicle autonomy) is a plus. Proficiency in social media platforms, including but not limited to LinkedIn and Twitter (X) is a plus. Proficiency in web-publishing and relevant publishing applications is a plus. Prior experience in project management. Prior experience in proposal development. Prior experience with applications such as Concur, Emburse Expense, or Maestro.
